BASIC FUNCTION:

Under the direction of the Principal, perform a wide variety of clerical assistance duties for K-8 or junior high school involving frequent and responsible contact with students, staff and the general public.

DISTINGUISHING CHARACTERISTICS:

Incumbents in the Senior School Clerk classification provide clerical assistance to a K-8 or junior high school where the complexity is increased because of the variety and types of student programs.  Incumbents in the School Clerk classification perform a variety of clerical assistance duties for an elementary school. Positions in the class typically assist a School Office Manager in the operation of an elementary school office.

REPRESENTATIVE DUTIES:

  • Perform a variety of clerical duties for K-8 or junior high school site involving frequent and responsible contact with students, staff and the general public. E
  • Participate in the attendance and registration functions for assigned school; prepare and maintain related records, reports and files. E
  • Assist students and parents in correct procedures for completion of a variety of forms and applications; review completed forms for accuracy, completeness and conformity to establish policies, codes and guidelines. E
  • Type a variety of documents, such as applications, tests, schedules, bulletins, reports, contracts and lists; prepare and type letters, memos and correspondence from written notes or oral instruction. E
  • Answer phones and take messages; schedule appointments and meetings. E
  • Perform a variety of clerical duties, including typing, answering phones, scheduling appointments, sorting and distributing mail and duplicating a variety of materials. E
  • Answer questions and provide information and assistance to students, teachers, parents and others regarding school operations and functions; apply and explain established policies and procedures. E
  • Order and maintain inventory of office supplies and school-related materials; order repairs for machinery and equipment. E
  • Operate a variety of office machines including typewriter, calculator, copier, and computer terminal. E
  • Assist the Principal and School Office Manager in the performance of a variety of clerical duties as needed.
  • Establish and maintain a variety of complex files, cards and records; maintain student records as assigned.
  • Compile and maintain a variety of statistical records and reports; post changes as needed; operate computer terminal to input or update a variety of data related to student schedules and records as assigned.
  • Assist in providing first aid and assistance for students who are sick or hurt.
  • Receive and sort mail; duplicate and distribute materials as needed.
  • Perform related duties as assigned.

EDUCATION AND EXPERIENCE:

Any combination equivalent to: graduation from high school including or supplemented by clerical training and two years of clerical experience involving frequent contact with the public.

WORKING CONDITIONS

 ENVIRONMENT:

Office environment; subject to constant interruptions.

 PHYSICAL ABILITIES:

Dexterity of hands and fingers to operate computer terminal and other office equipment, hearing and speaking to exchange information in person or on the telephone, and seeing to read and type reports from detailed copy.
