Job Summary

BASIC FUNCTIONS: Under general supervision of the Purchasing Supervisor, makes purchase of supplies, services, materials, and equipment in accordance with District standards and policies. Also responsible for data entry into the purchasing/warehouse systems software of the district and performs other clerical duties as required. TYPICAL DUTIES AND RESPONSIBILITIES: The duties listed in this section are representative of this classification; however, no one position is likely to perform all of the duties listed, and positions may be assigned related duties and responsibilities which are not specifically listed as follows: • Processes purchase orders and requisitions, maintains vendor files and purchasing records. • Reviews requisitions to ensure completeness and accuracy. Contacts schools or District staff to clarify or obtain additional information: assigns vendors; makes corrections as needed. • Follow-up on purchase orders and resolves account discrepancies. • Reviews stock status reports to determine purchase of warehouse supplies, and communicates with the warehouse about stock transactions. • Assists in developing specifications for these items, maintains a vendor supplier list for their purchase. • Invites and accepts bids, evaluates products and their prices and other bid considerations, makes awards on these bids; prepares purchase orders; follows up purchase orders to assure receipt of commodities as ordered. • Contact with department/school representatives concerning their needs. • Inputs and maintains data records of warehouse transactions, prepares reports of warehouse activities, updates warehouse catalogue. • Operates automated office equipment, such as copiers, scanners and personal computers Perform advanced automated records processing using word processing, spreadsheets, and records management software. • Provides information regarding established purchasing policies and procedures to staff and vendors. • Assists with training Dis
