CLASSIFICATION: Classified Personnel
DESCRIPTION OF BASIC FUNCTION AND RESPONSIBILITY
To perform a variety of secretarial and stenographic duties and to assist in the operations of special projects as they relate to assigned operational unit. Employees in this classification receive general supervision from a departmental administrator or his or her designate within a framework of standard policies and procedures. Employees in this classification may supervise student assistants or subordinate personnel.
ESSENTIAL JOB FUNCTIONS
Types a wide variety of materials including complex reports, statistical and tabular forms, finished copies from rough notes or oral instructions.
Takes and transcribes dictation from notes and/or machine.
Composes correspondence, memos, reports, newsletters, brochures, etc. from basic oral or written instructions.
Answers inquiries by telephone or in person; attempting to resolve complaints whenever possible, referring callers to appropriate sources as necessary.
Schedules appointments and maintains operational unit's calendar exercising considerable discretion in the commitment of time.
Maintains general and confidential files.
Screens reports for completeness and accuracy.
Arranges and coordinates meetings, notifying participants.
Maintains routine bookkeeping records; transfers and deposits monies as necessary.
ADDITIONAL JOB FUNCTIONS
Receives visitors, students, employees, and faculty.
Acts as information source regarding operational unit's policies and procedures.
Assembles, checks, and reviews a variety of data for completion and conformance with established regulations and procedures.
Maintains time sheets.
Coordinates travel arrangements.
Receives, opens, and routes mail; using discretion in prioritizing and initiating responses.
Orders supplies and equipment.
Coordinates work flow with unit personnel.
Maintains expenditure records.
Performs related duties as required.
EMPLOYMENT STANDARDS
Requires possession of:
Passing score on District clerical test.
Requires knowledge of:
Efficient office methods and procedures including receptionist and telephone techniques, business correspondence, and report writing.
Proper English usage, grammar, spelling, vocabulary, and punctuation.
Computer technology and programs.
Requires ability to:
Understand and carry out complex instructions in both oral and written form.
Learn to interpret and apply administrative and departmental policies, laws, and regulations.
Type accurately at 45 words per minute.
Operate a variety of office machines and equipment including adding machines, calculators, copy machines, dictaphone, computer terminals.
Maintain complex records, collect data, and prepare reports.
Communicate in both oral and written form.
Establish and maintain effective work relationships with those contacted in the performance of required duties.
Prioritize and supervise the work of students or subordinate personnel.
