JOB DESCRIPTION School Secretary DEFINITION: Under general supervision, to perform specialized and responsible clerical and secretarial functions in an elementary school setting; to relieve the school administrator of clerical detail and to do other related work as required. Examples of Duties: • Perform a variety of secretarial and clerical duties, handle a heavy volume of telephone and personal contacts by parents, the public and staff; • In the absence of the school nurse, may administer first aid, notify parents and be responsible for obtaining other assistance as needed for sick or injured students; • Accurately, swiftly and cordially respond to broad range of inquiries, oral and written, incorporating appropriate District and School policies with tact, poise, maturity, clarity, and independent judgment in the return communication; • In the absence of the office clerk, assume the basic functions of the school attendance clerk; • Compile and type various detailed reports and statistical data; • Compose and type routine correspondence independently or from brief verbal instructions or notes; • Type, stencil, and duplicate rosters, bulletins, letters, file cards, reports, requisitions, schedules, work orders, accident reports, etc.; • Receive, open, sort, and route mail; • Register, release, or transfer students; • Provide services to assist in maintaining an atmosphere, attitudes, and actions conducive to a learning environment; • Provide assistance to students who arrive at school office; • Orient substitutes to the school and its procedures; • Collect and record monies, maintain, monitor budget and other financial records; • Requisition, request, and issue supplies and equipment; establish and maintain files; • Maintain key file; • Operate school intercom. Qualifications Knowledge of: Modern office practices; methods and procedures; appropriate English usage, spelling, grammar, punctuation and arithmetical concepts; standard office machines and equipment including terminals and computers; operational procedures and policies, rules, regulations, and legal provisions specific to the assignment. Ability to: Plan, prioritize, organize work of self and others; perform responsible clerical work; understand and prepare reports; type at a net correct speed of 50 wpm; understand and carry out oral and written directions; establish and maintain cooperative working relationships, communicate accurately, effectively and courteously orally and in writing to a diverse audience often under busy and/or difficult situations. Experience: Wide ranging responsible experience in secretarial and clerical office environments including public contact at a responsible level, preferably including some experience working in a public school setting. Desirable Qualifications: Take dictation at a rate of 80 wpm; computer knowledge. Required Licenses and/or Certificates: Possession of a valid and appropriate California Driver’s License may be required. A Standard Red Cross First Aid Certificate may be required of an incumbent and will be required of new employees assigned to this position. Education: High School Diploma or equivalent. Employment Status: Bargaining unit position – Agency shop.
