Under the direction of the Assistant Superintendent, Human Resource Services, performs a wide variety of specialized, complex and responsible secretarial duties requiring independent judgement and analysis; plan, organize and coordinate office activities and communications to relieve the Assistant Superintendent of routine administrative and clerical details; provide information and assistance related to confidential collective bargaining. 

Education and Experience

  • Graduation from high school including or supplemented by college level course work in business, office management, secretarial science or related field
  • Minimum of five years of increasingly responsible clerical and secretarial experience involving public contacts, preferably in an educational setting 

Knowledge and Abilities 

Knowledge of: Organization, rules, regulations and programs related to the District and a Human Resources office; secretarial and administrative assistance duties required to support the Assistant Superintendent; modern office practices, procedures and equipment; operation of a computer and related software, including MS Word, Excel, Google Drive, calendar and email at an advanced level; record-keeping techniques; oral and written communication skills; telephone techniques and etiquette; correct English usage, grammar, spelling, punctuation and vocabulary; interpersonal skills using tact, patience and courtesy; applicable sections of State Education Code. 

Ability to: Organize, coordinate and prioritize a wide variety of secretarial and responsible clerical activities and functions of assigned office; perform complex and responsible secretarial duties requiring independent judgement and analysis; relieve the Assistant Superintendent of administrative detail and respond to routine inquiries; read, interpret, explain and apply District policies, procedures and collective bargaining contracts; process and perform data entry of various personnel transactions and changes; take and transcribe dictation at an acceptable rate of speed; compose letters, memos and other materials independently or from oral instructions; understand and follow oral and written directions; communicate effectively with students, parents, staff and administration; complete work with constant interruptions; meet schedules and timelines; work confidentially with discretion; maintain accurate records and prepare reports; type at 60 words net per minute from clear copy; add, subtract, multiply and divide quickly and accurately; establish and maintain cooperative and effective working relationships with others; analyze situations accurately and adopt an effective course of action; operate standard office equipment; operate a computer and related software applications at an advanced level; plan, organize and prioritize work.
