JOB CLASSIFICATION TITLE: Administrative Secretary II

Range 14

DEFINITION:  Under the direction of an administrator serves as secretary to an administrator and performs work related to administrator’s assignments; assists with the training and supervision of clerical staff and/or trains and assists with supervision of staff for student data processing system; performs varied complex and secretarial functions and other related work as required.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  1. Performs a wide variety of responsible secretarial and clerical duties; maintains  appointment calendar; answers telephone and screens calls; types a wide variety of letters, forms, reports and memos; collects and processes various forms; receives and processes various requests of staff members, students, parents and members of the community.
  2. In the absence of the principal, will route problems to appropriate persons for resolution and sees they are brought to the attention of the principal upon their return.
  3. Establishes and maintains files and records; types and maintains files on teacher and classified personnel on site.
  4. Maintains school budgets.
  5. Trains, coordinates and assists with supervision and work of clerical staff; assists with student data system.
  6. Uses computer for a variety of tasks including word processing, spread sheets, desktop publishing and data processing; and performs other related work as required.

  • This type of work will involve walking, standing or sitting for extended periods.
  • Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate equipment, and handle work with various materials and objects are important aspects of this job.

Operate equipment according to established safety procedures.

  • Follow established safety procedures and techniques to perform job duties, including lifting, pushing and pulling.

MINIMUM QUALIFICATIONS:

 

Knowledge of:

  • School operation and office practices and procedures.
  • Accounting and budget procedures.
  • Letter writing techniques.
  • Word and data processing procedures.

Ability to:

  • Type 45 net wpm.
  • Perform responsible secretarial work with accuracy and speed.
  • Operate wide variety of word and data processing programs.
  • Use correct English grammar, spelling and punctuation.
  • Compose correspondence, reports and memos independently.
  • Understand and carry out oral and written instructions.
  • Analyze situations and adopt an effective course of action.
  • Maintain effective communication and work cooperatively with students, staff, and the public.

Experience:

  • .Three years of increasingly varied and responsible secretarial and computer experience, preferably in a school office.

Education:

  • High school graduate or equivalent with business courses preferred; additional training in use of computers preferred.

  • Pre-employment physical
