BASIC FUNCTION
Under the direction of an Administrator, perform responsible and moderately complex clerical and secretarial work for an Assistant Principal or designated administrator. Work includes using independent judgement in relieving the supervisor of routine administrative detail; providing the public and the staff with a variety of information and supervising student helpers.
REPRESENTATIVE DUTIES

1. Interview and screen office visitors and telephone callers, directing them appropriately, relieving the supervisor of as much detail as possible.
2. Assist in the preparation and maintenance of the master schedule.
3. Compose letters and reports on a variety of matters from notes, rough drafts or verbal instructions including matters of a confidential nature.
4. Perform a variety of special assignments related to school activities and events; coordinate arrangements with time lines, prepare and assure timely distribution of materials; contact speakers, vendors, parents, teachers and students to assure timely coordination and communications.
5. Prepare and assemble agenda items; prepare and distribute minutes.
6. Schedule and arrange for hearings, notifying appropriate personnel, and process and file documentation materials according to established guidelines.
7. Provide a variety of information to staff members, parents, students and the
public; make appropriate and necessary decisions in the absence of the supervisor.
8. Perform other related duties as assigned.
KNOWLEDGE AND ABILITIES
KNOWLEDGE OF:
District organization, operations, policies and objectives. Modern office practices, procedures, including the preparation of business correspondence, reports, filing, and standard office equipment operation. Telephone techniques and etiquette. Record-keeping techniques. Principles and practices of training and providing work direction. Correct English usage, grammar, spelling, punctuation and vocabulary. Applicable sections of State Education Code and other Federal, State, County and District laws, policies, rules and regulations. Interpersonal skills; using tact; patience and courtesy.
ABILITY TO:
Serve as liaison between administration and outside agencies, other district offices, community, staff and students. Make routine administrative decisions in accordance with laws and regulations and apply these to problem situations. Compose correspondence independently. Perform responsible secretarial work rapidly and accurately. Key accurately at an acceptable rate of speed. Operate a variety of office equipment, including a computer. Make math calculations quickly and accurately. Read, interpret and follow rules, regulations, policies and procedures. Correct English usage, grammar, spelling, punctuation and vocabulary. Understand and follow oral and written directions. Work independently with little direction. Establish and maintain effective working relationships with others. Meet schedules and time lines. Plan and organize work. Train and provide work direction to others. Communicate effectively both orally and in writing. Maintain records and prepare reports. Complete work with many interruptions. Work confidentially.
MINIMUM REQUIREMENTS
Graduation from high school and three years of increasingly responsible secretarial experience involving public contact.
If selected, proof of high school certificate or equivalency is required.

QUALIFICATIONS Education/Certification/Experience: High school diploma or equivalent; three (3) years office experience in an educational setting. Licenses and other requirements: Desired Qualification: Secretarial experience in educational field; certificates in Microsoft Office applications.
