TRANSPORTATION BOOKKEEPTER/SECRETARY

(CONFIDENTIAL)

JOB DESCRIPTION

 

Under the direct supervision of the Transportation Director, performs a wide variety of accounting/clerical work involved in the maintenance of financial records of the Transportation Department; prepares all financial statements and reports; does the budgets for all departments within the Transportation Department.  Administers the controlled substance and alcohol testing program and maintains all records for the program.  Co-Ordinates and maintains records of employee evaluations.  Prepares salary schedules for Negotiations concerning transportation (transportation employees).  Prepares Small Bus Grant applications and Requests for Final Apportionment.  And does other related work as required.

 

PRIMARY DUTIES

 

Establishes and maintains a professional relationship with the public and school site staff.  Performs repetitive tasks of posting, adding, computing, and filing numerical data or statistical information.  Maintains record of transportation income for all Lemoore Area Schools.  Does all billing monthly.  Maintains all accounting for budgets.  Prepares J-141.  Types reports, correspondence, forms and handbooks.  Maintains, records and code and posts all Transportation purchase orders and invoices.  Helps prepare annual budget and interim reports for Vehicle Maintenance, Transportation, SB198, Bus Training and Behind the Wheel Training.  Maintains all maintenance work orders for the Lemoore High School’s Motor Pool and buses in fleet.  Maintains all maintenance work orders and billings for Kings County Superintendent of Schools buses and for all other Districts that have their buses maintained by Lemoore High School Transportation Department.  Inputs all data into Transportation Program for maintaining inventory (invoices & work orders).  Maintains all bus rental agreements and billings.  Maintains all Transportation employee files (Personnel Files in District Office).  Administers and maintains all records for the Controlled Substance and Alcohol Program for Transportation Employees and Feeder Districts.  Prepares salary schedules for negotiations.  Maintains daily Bus Drivers time and absence reports for the District Office.  Keeps track of all Vehicle Maintenance, Maintenance/Operation hours worked in the Transportation Department and turns in monthly reports to the District Office.  Acts as receptionist, giving out information and assistance to all Lemoore Area School employees and general public by telephone and in person regarding bus schedules.  Maintains the mileage of all Lemoore Area buses and vehicles, for reporting to the District and a yearly report to the California Highway Patrol.  Prepares all Small Bus Grants for Lemoore Area Schools and prepares Request for Final Apportionment (School Bus Replacement).  Co-Ordinates Evaluations of Transportation Employees for the Director of Transportation.  Assists in maintaining all extra trip requests for buses and vehicles.  Assists in updating bus routes and makes them available to drivers and the administration office.  May be required to call in substitute drivers.  Operates two-way radio to communicate with bus drivers.  Takes all complaints to Transportation Director/District Office.  Helps in making decisions based on necessity in emergency situations.

 

SUPERVISION RECEIVED AND EXERCISED

 

Works under the direct supervision of the Transportation Director and District Office.  In their absence, is responsible to help with the operation of the Transportation Department.

 

DESIRABLE QUALIFICATIONS

Should posses personal characteristics generally recognized as essential for good public employees, including integrity, initiative, dependability, courtesy, good judgement and ability to work cooperatively with others.  Represent and support the district in conversation with the public.

 

Education:               Completion of twelfth grade with background in advanced accounting and record keeping.  Computer experience required.

 

Experience:              Three years experience in increasingly responsible record keeping required.

 

Knowledge:             Methods, practices and terminology used in the accounting and financial record keeping; modern office practices and procedures and knowledge of machines used in record keeping and knowledge of computers.

 

Ability:                    Make mathematical computations rapidly and accurately; type and operate calculator and computers, compile and maintain accurate and complete records and reports; interpret and carry-out written and oral directions; ability to meet the public and work cooperatively with others.

 

Physical Requirements:           Able to lift up to 25 pounds, able to sit for extended periods of time while working at computer system.
