Position Overview

The Operations Manager will join KIPP Bay Area Schools during an exciting phase of growth as we expand to serve more students. The Operations Manager oversees all finance and operations functions necessary to run a high-performing school. Additionally, s/he will play an integral role in the development of a joyful and rigorous school culture.

The ideal candidate for this role is someone who has the grit to do whatever it takes to help our students succeed. S/he should thrive on project management and effective organization, have demonstrated success in balancing multiple priorities, building relationships with both children and adults, and proactively solving challenges in collaboration with teammates. S/he will report to the School Leader and is accountable to the Operations team at the Regional Support Office (RSO), which supports all KIPP schools in the Bay Area. This position is based in Oakland and is available immediately.

Roles and Responsibilities

School Operations Leadership & Operations Team Management

  • In partnership with the School Leader and the region, develops the school-wide operations vision that supports and operationalizes the academic and cultural vision of the school

  • Plays a leadership role in the school’s strategic and annual planning and budgeting process

  • Hires, manages, coaches, and develops school operations team members (including front office staff and vendors) and holds them accountable to goals and outcomes

  • Serves as the primary point of contact for the RSO, responding to requests and collaborating with teammates across the region to build scalable, region-wide systems, policies, and procedures

  • Serve as the face of the school answering questions from parents, students, and visitors

Student Recruitment & Enrollment

  • Develops and manages student recruitment strategy to ensure that the school begins the academic year with full classes and actively recruits to fill open seats

  • Ensures that parent info sessions, school tours, and the lottery and enrollment process are tightly planned and executed

Daily school operations

  • Serves as the eyes and ears of the school to ensure that all school operations run seamlessly each and every day, proactively problem solving and developing systems where needed

  • Leads the school opening/start up process each year to ensure that doors are ready to open by ordering furniture, equipment, instructional supplies, and ensuring that student services (e.g. food service, transportation) are ready to go

  • Oversee facilities maintenance, janitorial services , food service operations, and communication systems with families

  • Ensure that the school is prepared for emergencies by conducting all drills and training staff on emergency plans

  • Coordinate technology procurement and technical support for the school

Finance & Purchasing

  • Works closely with the principal to develop the school’s annual budget and actively manages the school budget throughout the year

  • Manages the school purchasing process by establishing clear systems and implementing appropriate fiscal policies

Manage student data and compliance

  • Manages systems for and maintains accurate student data and information in compliance with federal, state, regional and school expectations

  • Assist in creating the school schedule, master calendar and student transcripts  

  • Complete state and district reporting and compliance submissions

  • Partners with regional HR team on the implementing compliant processes (e.g. timesheets, onboarding, documentation)

Miscellaneous school support and projects

  • Support marketing efforts by providing information for KIPP website and managing collateral

  • Help plan and host on-campus and off-campus school events, including student field trips

  • Perform other related duties and special projects as required or assigned by the School Leader

Skills and Qualifications

  • Unquestioned integrity and commitment to KIPP Bay Area Schools’ mission and values

  • Bachelor's degree required and at least 3 years of work experience preferred

  • Outstanding project management and stakeholder management skills

  • Strong track record of collaborating with others and building relationships

  • Ability to self-direct, prioritize and multi-task among competing goals, while exhibiting flexibility in a fast paced, entrepreneurial environment

  • Balance of confidence and humility

  • Excellent written and verbal communication skills with keen attention to detail
