Overview:
The Office Manager is responsible for overall front office activities. Upholds the mission and values established by Aspire Public Schools.
Responsibilities:
1. Manage all aspects of attendance (set up and maintain student database and attendance records, etc.).
2. Act as central point of contact for the school by answering phones, greeting and directing visitors, addressing questions from parents and nurturing students.
3. Provide administrative support for the Principal, to include managing correspondence, scheduling meetings, ordering supplies, and developing necessary communications internally and externally.
4. Maintain school/student records and organize files.
5. Manage confidential information appropriately.
6. Attend to students’ medical needs.
7. Organize free/reduced lunch program; receive lunch payments from students.
8. Handle travel schedules and juggle multiple tasks and priorities.
9. Supervise part-time office assistant: train, develop and appraise effectively (set expectations and provide direction as needed; follow-up and provide feedback in a timely manner); take corrective action as necessary on a timely basis and in accordance with company policy; consult with Human Resources as appropriate.
10. Attend monthly and/or bi-monthly Office Manager meetings, as well as other Aspire-wide Office Manager professional development sessions.
11. Demonstrate knowledge of, and support, Aspire Public Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
12. Perform other related duties as required and assigned.
Qualifications:
1) Required knowledge, skills & abilities:
• Strong organizational, time management and multi-tasking skills
• Strong interpersonal and communication skills
• Expedience in office management capacity
• Ability to work independently as well as with a team
• Professional appearance and manner
• Fluency in Spanish a huge plus!!!
2) Minimum educational level:
• A.A. Degree or equivalent work experience
3) Experience required:
• 3 plus years in fast-paced, ever changing administrative support position; experience in school front office preferable
• Some supervisory experience preferred
• Proficiency with Microsoft Office
