POSITION SUMMARY:

Under the supervision of the AD, BO or designee, the Office Clerk performs and coordinates varied and responsible secretarial and clerical functions including making frequent contacts with parents, students and staff, in order to support the achievement of the charter school’s academic, business, and operational goals.

MAJOR DUTIES AND RESPONSIBILITIES:

The Office Clerk is expected to perform core office activities and administrative functions that support in:

Domain 1A: Progress in Student Achievement

1.1A Ensuring the school’s progress in meeting its long-term academic and financial goals

1.2A Preparing student recognition awards for assemblies

1.3A Assisting in maintaining appropriate student behavior in an office setting

Domain 1B: Progress in Charter School Financial Goals

1.1B Ensuring the school’s progress in meeting its long-term financial goals

Domain 2: Progress in Fiscal and Business Charter Goals

2.1 Tracking student attendance and tardiness; assisting in verifying reasons for absence, creating         the most expeditious way to admit tardy students to class, monitoring student sign out log and verifying adult authorization to remove students from school

2.2 Communicating with office visitors, initiating and receiving a variety of telephone calls and providing information to parents, students and public via Connect-Ed, Website, etc.

2.3 Assisting in maintaining and updating student files and data base (Illuminate)

2.4 Assisting with mailing and registration and other meetings as appropriate. Assisting with preparation of information packets

2.5 Assisting with fundraising activities as necessary

2.6 Operating a variety of office equipment and machines

2.7 Receiving, sorting, and distributing mail, books, instructional materials, equipment or supplies

2.8 Assisting with maintenance of inventory lists

Domain 3: Progress in Facilities and Operational Charter Goals

3.1 Monitoring office facilities, equipment, furniture, supplies, and vendors

3.2 Conducting and recording site safety checks; conducting and recording fire and earthquake drills, shelter in place. Assisting with campus security procedures such as scheduled fire drills, campus supervisions plan and schedule.

3.3 Administering basic first aid, distributing medications, and maintaining injury reports and seeking assistance as needed

3.4 Assisting in providing information in person and via telephone or email, taking/ relaying messages for staff and students

3.5 Assisting in maintaining and updating requirements for student immunizations and maintaining records of medical testing (hearing, vision, scoliosis), student immunizations

3.6 Maintaining a variety of files and records which may contain confidential materials, including emergency contact information and various student registration documents

3.7 Assisting in preparation of bulletin boards, displays and other environmental presentations

3.8 Producing the school announcements, posters, and coordinating publications and distribution of materials via paper, phone, website and social media

3.9 Translating materials, as needed

3.10 Administering basic first aid, distributing medications, and maintaining injury reports and seeking assistance as needed

4.1 Creating and implementing policies and practices that enable the school to run smoothly and provide a climate conducive to learning

4.2 Assisting and supporting staff in all duties and functions in the school office, as needed

4.3 Maintaining a professional, clean and organized work environment

4.4 Maintaining a professional, clean, organized and fully stocked inventory including, but not limited to, first aid supplies, office supplies, and duplication supplies

Universal Domain 5: School Culture

5.1 Communicating a vision of continuous improvement and high expectations

5.2 Ensuring sacred work and instructional hours and establishing office hours availability for constituents

5.3 Maintaining a culture of professionalism by ensuring the highest ethical and professional behavior standards via oral and written communications when working and socializing with students, parents, and school personnel.

5.4 Supporting the school’s master schedule that is driven by data and is strategically structured to support student learning needs

5.5 Demonstrating professionalism in personal appearance and behavior

5.6 Consistently exhibit respect, understanding, and sensitivity toward cultural heritage, community values, and individual aspirations of diverse students, families, and colleagues.

5.7 Demonstrating strategies for overcoming possible biases.

Universal Domain 6: Partnership with Parents and Guardians and the Community

6.1 Supporting the school’s development of partnerships with leading educational, business and community organizations, both locally and nationally, to support, complement, and enhance the charter school’s program; supporting and fostering relationships with internal and external stakeholders

Universal Domain 7: Charter Legislation and Policies

7.1 Understanding the Governing Board policies and communicating guidelines inherent in those policies

7.2 Understanding the LAS operational procedures and communicating guidelines inherent in those procedures

7.3 Assisting in formulating and developing policies and procedures related to the fiscal, business, facilities and operations aspect of the school

7.4 Attending charter related school meetings as assigned

ADDITIONAL JOB FUNCTIONS:

  1. Performs other related work as require
  2. Participate in training/professional development, as required
  1. Make office copies of publications, as necessary

EDUCATION, CERTIFICATIONS, AND WORK RELATED EXPERIENCE:

  1. High school diploma or equivalent
  2. First Aid/CPR Certified
  3. Familiarity with California charter schools regulations and laws, preferred
  4. Experience with school-age children

KNOWLEDGE AND ABILITIES:

  1. Bilingual (English/Spanish) proficiency (read, write, speak)
  2. Excellent, demonstrated oral and written communication skills
  3. Ability to understand and carry out oral and written directions
  4. Ability to use tact, patience and courtesy
  5. Ability to meet schedules and deadlines
  6. Excellent interpersonal skills
  7. Ability to work well independently and within a team environment, managing multiple projects and priorities, and working cooperatively to meet internal and external requests
  8. Solid computer skills- proficiency in Microsoft Office (Word, Excel, Power Point) and spreadsheets and databases

WORKING CONDITIONS:

  1. Regular requirement to stand, sit, walk, talk, hear, see, read, speak, reach, stretch with hands and arms, stoop, kneel and crouch
  2. Lift and carry objects weighing up to 50 lbs.
  3. Occasional exposure to blood, bodily fluids and tissue
  4. Occasional interaction with unruly children
  5. Constant interruptions, and work is usually varied in nature
