JOB DESCRIPTION-CLASSIFIED

CUSTOMER SERVICE RECEPTIONIST

 GENERAL SCOPE

Under the supervision of the District Superintendent, performs a wide variety of clerical duties (10 month employee).

 EXAMPLES OF DUTIES AND RESPONSIBILITIES

  • Provides assistance to the Executive Assistant to the Superintendent in the operation of the District office
  • Provides secretarial support to the District office Cabinet
  • Answers telephones and acts as office receptionist
  • Operates a computer to input, update and retrieve a variety of data
  • Types, duplicates and distributes memorandums, letters, newsletters, and other correspondence as directed
  • Provides information and assistance to visitors/general public
  • Assists in arranging and coordinating District and community activities utilizing District facilities; processes facility use forms and maintains calendar for facility use
  • Complies and maintains records and reports as directed; maintain files
  • Operates a variety of office machines, including typewriter, fax, copier and copy/duplicator
  • Receives, sorts and distributes mail
  • Processes purchase orders; maintains and distributes materials, supplies and equipment as directed
  • Performs other related duties as assigned

KNOWLEDGE OF:

  • Basic data entry and word processing techniques and programs
  • Modern office practices, procedures and equipment
  • Record keeping techniques
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Interpersonal skills using tact, patience and courtesy
  • Telephone techniques and etiquette
  • Oral and written communication skills

ABILITY TO:

  • Perform assigned clerical duties quickly and accurately

  • Perform arithmetic calculations quickly and accurately

  • Input and manage technological data bases for student enrollment and attendance
  • Keyboard at 50 words net per minute from clear copy
  • Operate standard office machines and equipment, including the computer, typewriter, copier and fax
  • Prepare computer generated spread sheets and related materials
  • Administer basic first aid
  • Bilingual skills preferred

PHYSICAL REQUIREMENTS

  • Stamina sufficient to stand or sit for extended periods of time
  • Mobility sufficient to move from desk to cabinets and files within office
  • Vision sufficient to read fine print
  • Hearing and speech sufficient to enable communication by telephone and in person
  • Manual dexterity sufficient to operate a computer keyboard, typewriter, copier and related office equipment
  • Lift and carry up to 30 pounds

EXPERIENCE AND TRAINING

Working knowledge of modern office methods and procedures including computers. Strong interpersonal and customer service skills to handle a variety of situations and circumstances.

EDUCATION

High school graduate with equivalent of two years successful work experience in related field.
