OVERVIEW:
Under the direction of an administrator, performs specialized clerical duties involving analysis and evaluation of student records and transcripts for certification; organizes and supervises the registration of students into college credit courses; maintains student records; processes international student admissions, enrollment determination and, grades; coordinates census and grade roster management; assists auditors in obtaining District information; researches report delayed actions and initiates unit/grade change letters; provides work direction and guidance to assigned personnel.
DISTINGUISHING CHARACTERISTICS:
This is the senior, technical specialist level in the Admissions and Records Technician series. Work is performed within broad guidelines; high levels of independent judgment and may involve responsibility of lead direction of projects and staff performing related duties. Duties may involve performing the most technical and difficult tasks, requiring specialized or advanced skill in one or more areas of the work assigned.
Representative Duties:

1 Performs the more complex and technical duties involved in the evaluation of student records and transcripts for completion of general education requirements and General Education certification for admission to other colleges and universities*
2 Evaluates admissions applications for accuracy and completeness; mails appropriate enrollment information to new students; evaluates supporting documentation for international student enrollment; reports admissions status of international students to I.N.S*
3 Receives and verifies accuracy of grades; posts grades and grade changes; composes letters of instructor calendar for positive attendance classes; researches and problem-solves missing FTE*
4 Provides technical assistance and guidance to students, staff, counselors, faculty and administrators in the interpretation and clarification of registration, transfer policies, requirements and procedures*
5 Researches and merges duplicate student ID numbers; receives and processes transcript requests; provides academic eligibility to military; notates student records for high school credit; processes military early-out letters*
6 Assists the Director and Assistant Director of Admissions and Records in planning, developing and implementing departmental operations and procedures; recommends changes in registration procedures
7 Stores and tracks academic records utilizing electronic records storage system; provides information and assistance to law enforcement agencies and for subpoenas; provides student record information to counseling and other departments; maintains registration documents*
Qualifications/Requirements:
MINIMUM QUALIFICATIONS:
EDUCATION/EXPERIENCE:
• An Associate’s Degree in office information systems, business or a related field or the equivalent*; AND
• Three (3) years of increasingly responsible experience closely related to the duties and responsibilities of this class: AND
• Graduation from high school or G.E.D. or the equivalent**.
* Associate’s Degree education equivalency equals two (2) years of increasingly responsible, related work experience for each full year (24-30 units) of college. Work experience must be in an office setting.
** High School education equivalency equals an adult education diploma or four (4) years of full-time, paid work experience.
