SCHOOL SECRETARY/BILINGUAL DEFINITION Under general supervision, to act as secretary and receptionist at an elementary school and to perform a wide variety of responsible clerical work; to assist the principal by relieving him of clerical detail; and to do related work as required. CLASS CHARACTERISTICS Positions in this class exist at elementary schools and are characterized by the relatively small amount of supervision received since many of the duties must be performed while the principal is absent from the office. The School Secretary, however, is not required to take any actions requiring the application of techniques of professional education or the making of policy decisions and most clerical operations are routine and repetitive. Frequent contacts with parents, teachers, and students are characteristic of these positions. Stenography may be required for some positions in this class. Some positions in this class may require the ability to read, write, and speak Spanish fluently. EXAMPLES OF DUTIES Acts as secretary to a school principal; takes and refers messages for the principal and for teachers; schedules appointments and acts as receptionist; gives information to the public regarding school matters over the counter and by telephone; independently answers routine correspondence, usually by form letters, not requiring the principal's attention; keeps records of student attendance and makes regular reports of attendance to the district office; maintains other student records and prepares reports; makes out requisitions, maintenance requests, report cards and other records; collects money, issues receipts, deposits funds; keeps time records of employees for payroll purposes; coordinates exchanges of library and audio-visual materials among the teachers; types from oral directions, rough draft, copy or notes a variety of materials; telephones and confers with parents regarding pupil's absences and other matters of student welfare; schedules the use of school facilities by parent-teacher groups and other outside organizations; arranges appointments for pupils with the nurse; administers minor first aid to pupils in the absence of a school nurse; gives clerical assistance to teachers on work requiring typing and use of the office machines, such as mimeograph and ditto; may supervise a clerical assistant or student help. May operate computer terminal. MINIMUM QUALIFICATIONS Knowledge of: Office methods and practices, including filing systems, receptionist and telephone techniques; English usage, spelling, grammar, and punctuation; standard office machines. Ability to: Perform responsible clerical work with accuracy and speed; learn specific rules, laws, and policies quickly and to apply them with good judgment in a variety of procedural situations; make arithmetical calculations with speed and accuracy; compile and maintain accurate and complete records and reports; understand and carry out oral and written directions; meet the public tactfully and courteously and establish and maintain cooperative and effective working relationships; type from clear copy at a rate of 50 words a minute; if required in position, take shorthand at a rate of 80 words per minute and transcribe it accurately on a typewriter. If required in position, read, write, and speak Spanish fluently. Experience: One year of responsible clerical experience, preferably requiring frequent contact with the public.
