Academy Secretary II

The Academy Secretary assists the Academy Coordinator in managing the small school environment of a Julian Charter School campus. The secretary is an integral part of the maintaining relationships between students, parents, and staff.

Essential Functions:
1. Greets the public and helps staff, community, parents, and students with questions, concerns, problems, etc.
2. Screens and handles telephone calls to the campus.
3. Composes and types letters, memos, reports, and general school business.
4. Assists in maintaining the school office filing system for all appropriate areas, including student records.
5. Operates all office business machines and provides assistance to staff and parent volunteers regarding such equipment.
6. Possesses ability to read, understand, and carry out oral and written directions.
7. Manages facility and supervises students in the absence of the site coordinator.

Duties/Responsibilities:

1. Maintains student records and reports, including absences, emergency information and student discipline
2. Assists in preparation of report cards, and scheduling of parent-teacher meetings.
3. Maintains master activities calendar.
4. Assists with purchase requests and maintains book inventory.
5. Maintains and orders office supplies as needed.
6. Supervises student office workers, clerical help or student janitors.
7. Telephones and confers with parents regarding student welfare, as needed.
8. Evaluates situations (e.g. involving staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
9. Orients new site personnel regarding appropriate school practices for the purpose of effectively assimilating new personnel into site operations.
10. Performs other duties as assigned (may include shipping, yard duty, janitorial, grounds policing)

Qualifications:

1. Strong skills in dealing diplomatically and effectively with a wide variety of people.
2. Well organized, logical thinker; good general math skills.
3. Ability to work independently and efficiently under general supervision with constant interruptions.
4. Knowledge of modern office practices and procedures; working knowledge of general office equipment.
5. Knowledge of computer including: word processing, database, spreadsheet and e-mail.
6. Strong command of the English language; excellent spelling, vocabulary, punctuation, proofreading and grammatical skills.
7. Skills and ability to perform clerical work with speed and accuracy.
8. Ability to coordinate multiple activities and quickly learn and utilize school Policies and Regulations.

Requirements / Qualifications

  • CPR/First Aid Certification (Current CPR certification required.)
  •      OR Other (If you do not have a current CPR certification, please post a document stating that you will obtain CPR certification upon hire.)
  • Letter of Introduction
  • Letter(s) of Recommendation (We require three letters of recommendation. These must be PDF or JPG files of actual letters signed by the authors.)
  • Proof of HS Graduation (Can be copy of HS diploma, GED, or college transcripts)
  • Resume
  • TB Screening Result (Negative test results required, must be within 60 days of application.)
