ADMINISTRATIVE ASSISTANT
Since 2001, Eleanor Roosevelt Community Learning Center (ERCLC) has been dedicated to supporting and empowering parents and students to take an active role in designing and implementing an education program that ignites a passion for learning and stimulates the intellectual, emotional and physical health of the child.
The administrative assistant is the first point of contact that parents have with ERCLC. The school relies upon this position for accurate and timely data entry, information tracking, and website updating. The ideal administrative assistant will have excellent communication skills, be highly organized, and detail oriented. Outgoing personality, self-management, critical thinking and problem solving skills are required.
Compensation consists of hourly pay, health benefits and optional 403(b) benefits. This classified full-time position is scheduled to work 40 hours per week, 215 days per year. The starting pay rate is $20.43 - $22.32 per hour.
Duties:
Administrative Assistant
- Answers phone and directs calls
- Files paperwork as needed, including emergency contact forms, correspondence, etc.
- Checks student files for accuracy and completeness
- Maintains enrollment waiting list and prepares enrollment folders
- Prepares parent handbooks
- Assists parents and teachers with supplies, forms
- Prepares general correspondence, as needed
- Attends monthly Board meetings and records the minutes of the meeting
- Prepares Board Minutes, handouts, and sets up room for monthly Board meetings
- Performs other duties as needed or directed by the administration
Data Management
- Processes incoming students
- Maintains Student Information System (SIS): Including grades, transcripts, attendance, student information
- Creates and maintains cumulative files for all students, including immunization records
- Processes requests for student cumulative files
- Maintains CALPADS and State data systems
- Assists with test coordination
Website Maintenance:
- Updates postings on the school website
- Responds to website inquiries
Qualifications: High school diploma, typing and computer skills, excellent organizational skills and attention to detail.
Physical Requirements: Ability to sit for 6-8 hours per day and lift up to 25 pounds occasionally.
