General Statement:

Reporting to the Dean of Enrollment Services, this is paraprofessional work at the action level involved in planning and implementing a student services program. Under general supervision, the Program Services Coordinator for Degree Audit performs the highly technical task of evaluating incoming transcripts and district coursework for awarding of degrees and certificates and maintaining functionality of the degree audit system to ensure accuracy of all aspects of the program. A high degree of independent judgment and creativity is required to adequately represent the college and program, to serve as a technical resource person for the program, and to design original program components and services. Public contact is extensive and includes students, staff, other educational institutions, community and business representatives, governmental agencies and the general public, for the purpose of exchanging program information and services. The Program Services Coordinator for Degree Audit can direct the work of student assistants, proctors, and other staff.  

 

Duties and Responsibilities:

1. Performs the complex and technical task of modifying, updating and maintaining the computerized degree audit system; 

2. Reviews performance metrics of the degree audit system to ensure accuracy, functionality and reliability; 

3. Evaluates incoming academic transcripts for equivalent SMCCCD courses using ASSIST and College Source; 

4. Analyzes and authenticates course level, content, and unit values of transfer coursework; 

5. Enters appropriate transfer equivalencies into the degree audit computer system; 

6. Certifies fulfillment of degree, certificate, IGETC and CSUGE requirements; 

7. Posts degrees and other information such as academic honors, service learning, etc., on permanent academic records (transcripts); 

8. Generates graduation, certificate and other statistical reports as requested; 

9. Uses independent judgment to interpret College catalog, district and college policies and procedures as related to degree and certificate requirements; consults with departments/faculty as needed; 

10. Recommends changes to the College catalog; 

11. Updates and maintains procedural documentation of degree audit system; 

12. As an A&R lead trains, schedules and monitors the work of staff as assigned; 

13. Provides assistance to staff with resolution of more complex issues; 

14. Participates in college and district committee assignments; 

15. Performs other tasks as assigned.  

 

Requirements:

This classification requires a combination of education and experience equivalent to a Bachelor's degree in Business Administration, Sociology, Human Resources or a closely related field; and successful work experience of increasing responsibility in a social services, human resources or related area that has included extensive public contact with people of diverse cultures, language groups and abilities; program planning, implementation and evaluation; leading the work of others; research, formatting, assessment and preparation of data for reports and other materials; demonstrated skills in oral communication, including public speaking, and in written communication; use of a variety of computer software to track and monitor data, compose and prepare correspondence, memoranda and other information.  

 

Desirable Skills and Abilities:

1. Knowledge of community college courses, curriculum, graduation, and transfer requirements. 

 

2. Familiarity with community college credit evaluation policies and procedures; 

 

3. Knowledge of state colleges and universities and general education requirements; 

 

4. Ability to analyze and solve complex computer program software issues. Extensive use of a variety of computer software to enter, modify, and retrieve information; 

 

5. Experience with developing statistical and other data reports; 

 

6. Ability to interpret and explain rules, regulations, procedures, and policies regarding transcript evaluation, graduation, degree and transfer requirements; 

 

7. Successful experience preferably in educational enrollment services, that has included extensive public contact that has demonstrated respectful and sensitive communication with people at various levels within an organization who are diverse in their cultures, sexual orientation, language groups; 

 

8. Able to prioritize assigned tasks; 

 

9. Ability to work independently with little direction; 

 

10. Proven ability to direct the work of others; 

 

11. Demonstrated skill in working effectively as part of a customer service team.
