CHARTER OAK UNIFIED SCHOOL DISTRICT CLASS TITLE: OFFICE ASSISTANT II BASIC FUNCTIONS: Under the direction of an assigned supervisor, perform a variety of clerical support duties for an assigned school, department or program according to several specific routines and broadly defined policies and procedures. DISTINGUISHING CHARACTERISTICS: The Office Assistant II classification performs a variety of clerical support duties involving independent judgment in interpretation and application of broadly defined policies and procedures. Office Assistant III classification performs a variety of complex and diverse clerical duties involving independent judgment and action within an assigned high school counseling office or a specific office functional area. The Office Assistant IV classification incumbents provide clerical support and relieve the Assistant Principal at an assigned high school or the Director of Maintenance and Operations of a wide variety of technical and administrative detail. The Office Assistant classification I is the entry﷓level in the Office Assistant Series. Incumbents in this classification are assigned routine and repetitive clerical duties and generally work under close supervision. Duties can usually be performed with brief instruction and require minimal previous clerical experience. REPRESENTATIVE DUTIES: Prepare and type letters, memoranda, bulletins, reports, schedules, lists, handbooks, questionnaires, requisitions or other materials from straight copy, rough draft or verbal instructions. E Compile information from various sources and type a variety of forms. E Type and perform other clerical duties for the assigned supervisor, classroom teachers and other staff members as directed. E Proof documents for accuracy, completeness and conformance to established procedures. E Compile, tabulate and type statistical data. E Prepare, process and enter data concerning course offerings, class schedules, student programs, records and grade reports into computer system. E Develop and maintain a variety of files and records. E Answer telephone, greet students and the public and provide routine information and direct inquiries to the appropriate person or office; make phone calls to request or provide information as directed. E Operate a variety of office machines including a computer, typewriter, calculator, duplicating machine, operate postage or fax machine as assigned. E Substitute for or relieve other office personnel; arrange for repairs or service; receive, count and issue monies; train and assign work to other clerical workers and student aides; schedule and/or coordinate meetings, conferences, travel and appointments. Perform clerical arrangements for home﷓to﷓school special education students, athletic and field trip transportation; administer first aid. Receive sort and distribute incoming and outgoing mail as assigned. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Modern office practices, procedures and equipment. Record﷓keeping techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Reading and writing communication skills. Oral and written communication skills. Basic math. Interpersonal skills using tact, patience and courtesy. Operation of a computer. ABILITY TO: Input data at 45 words per minute. Maintain accurate records and prepare reports. Learn to operate a computer. Establish and maintain cooperative and effective working relationships with others. Work confidentially with discretion. Make arithmetic calculations quickly and accurately. Operate a wide variety of office equipment. Meet schedules and time lines. Plan and organize work. Communicate effectively both orally and in writing. EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and two years clerical experience. WORKING CONDITIONS: ENVIRONMENT: Office or school environment. Subject to noise, interruptions and deadlines. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer and standard office equipment. Reaching overhead above the shoulders and horizontally to maintain and retrieve files. Hearing and speaking to exchange information on the telephone or in person. Seeing to assure complete and accurate reports and letters. Sitting or standing for extended periods of time.
