SMART-E PROGRAM SECRETARY
Under the leadership of the Directors of SMART-E After School and Preschool, the administrative assistant supports the mission of the programs which includes but is not limited to providing support to the directors, administration of office related responsibilities, payroll and record keeping, tracking the budget, purchasing of all materials and other duties as assigned.
REQUIREMENTS: Education and Experience
- Computer skills with experience in a variety of computer software (Microsoft word, excel, publisher, Word Press, ActiveNet)
- Displays highly developed organizational skills
- Exhibits creativity and flexibility
- Works effectively on a team and independently
- Communicates effectively both orally and in writing
Assists the directors in administrative tasks, including, but not limited to the following:
ü Participate in the enrollment process by inputting all data base entries, copying, completing and mailing all acceptance letters, record and deposit all registration deposits, copy and mail all state required forms.
ü Answers questions, phone calls and e-mails as appropriate.
ü Supports the teachers by providing materials and supplies.
ü Shops for all materials, supplies and food items needed each week.
ü Tracks the budget and is responsible for accounts payable, tuition collection, petty cash and reimbursement of staff and record keeping for all of the above.
ü Copies all notices, newsletters and schedules as needed.
ü Assists in all special events and special projects.
ü Creates, updates and makes available all lists: sign in/out sheets, teachers’ class lists, parents’ class lists, facility rosters, etc.
ü Recruits parent volunteers when needed.
ü Calls and makes arrangement for substitute teachers.
ü Builds positive relationships with parents, children and staff as appropriate.
