JOB DEFINITION:

 

The Registrar performs a variety of functions related to student services. The position requires some use of independent judgment, but the work is generally performed under well-defined rules, standards, policies and procedures.  The Registrar works under the supervision of the building administrator.

 

ESSENTIAL JOB FUNCTIONS:

These job functions fall under the following: attendance, records, health and clerical.

 

1.        Maintains confidentiality.

 

2.        Registrar duties include but are not limited to: taking and delivering messages; generating reports; assuring personal, confidential secretarial services to the Principal by composing, typing, and distributing correspondence; maintaining a calendar and a schedule of events; maintaining files; and collecting data from office records for use by the Principal.

 

3.        Assures positive efficient services are provided to students, staff, and community: for example, enrollment of new students, maintaining attendance records, submitting state reports, providing directions, and responding to requests for information.

 

4.        Serves as information liaison between the principal, teachers, district office personnel and the general public when necessary.

 

5.        Answers questions and provides information which requires a thorough knowledge of the school.

 

6.        Enrolls new students and create student data files; request immunization forms and other school and health information.  Obtains records from student’s previous school; evaluates transcripts to credit student’s previous course work.

 

7.        Withdraws students and prepares required forms; collects withdrawal grades from teachers and updates student cumulative files.  Forwards records of withdrawn students to other schools; insures state and district regulations are followed.  Verifies requests for information relating to students and student files before forwarding information to other sources.

 

8.        Maintains, records, and monitors daily attendance and corresponds with parents to verify an absence, regarding the number of student absences their student has accumulated.

 

9.        May oversee state student testing and verify all students have been tested in all areas.

10.       May assist Principal in development of master schedule; inputs information into computer. Scans student course selections and makes necessary changes; generates scheduling materials.  Maintains accurate reports and class counts for use in scheduling; prints related reports as requested.  Distributes schedules to offices and staff; maintains accurate class lists for teachers.   

 

11.       Will work with the School Master database, Odysseyware, NWEA, PSAT and AP.

 

12.       Will be responsible for preparing state reports related to student attendance.

 

13.       May be responsible for making sure student report cards and progress reports are verified, printed and mailed and copies filed as per grading period.

 

14.       Learns the operation of telephones, computers, and other equipment used in the work, as required by the position.

 

15.       May maintain organized health records and other related activities.

 

16.       May be responsible to send letters to parent/guardians regarding incomplete immunizations and report students with incomplete immunizations to the Health Department.

 

17.       Fulfills other related duties.

 

WORKING CONDITIONS:

 

 

The Registrar primarily serves as an information and screening resource for students.  It is imperative that the person in this position enjoys working with students.  There are many times when the position works under pressure due to deadlines and difficult student situations. Consequently the person in this position must be patient and tolerant of schedule demands as well as firm and consistent with students. The employee must be tolerant yet assertive in order to communicate effectively with irate parents.  Confidentiality is a top priority for the person in this position.  Periodically, the employee also needs to be able to lift/move/carry materials, equipment and boxes weighing up to 50 pounds.

  • Modern office practices and procedures.
  • Audio visual equipment, office machines, and their operation.
  • Filing and record keeping systems.
  • Student behavior and methods to assure proper conduct.
  • Safety practices.
  • Proper first aid procedures.
  • Computer operations and applications.

Possess the physical ability to regularly attend work and fulfill the essential functions of the position, with or without reasonable accommodation.

EDUCATION AND EXPERIENCE:

High school diploma; basic ability to use grammar, spelling and punctuation is required.  The position requires the ability to use fractions, decimals, and commercial arithmetic.  This position requires no prior work experience.

 

The position requires general knowledge of some technical procedures or work activity.  Working knowledge of a few school district practices or basic policies may be necessary.  Job learning time could range from one to six months; tasks are varied.  Job proficiency can be acquired in six months to one year.

Sheridan AllPrep Academy is an online public charter school for students in Oregon. We serve students in kindergarten through high school. Our office is located in Sheridan, Oregon; however, employees also have the option to work from home. This position does require the employee to work out of the main office at least once a week. A flexible schedule is allowed.
