Job Description / Essential Elements:

Under general supervision, to perform clerical duties in connection with classified and certificated personnel; and to perform related work as required.
MINIMUM QUALIFICATIONS/EXPERIENCE:
Experience:
Two years of inc responsible clerical experience
Previous experience in public education or public service desirable
Previous experience in personnel or employment office desirable
Education:
High school diploma or GED equivalent
AA degree desirable
Knowledge of:
Modern office practices and procedures including, but not limited to, filing systems, receptionist and telephone techniques and letter writing;
Strong organizational skills;
Office equipment;
Computer software (Microsoft Office);
District personnel policies, regulations, rules and procedures, labor contract provisions and applicable state law;
Business telephone etiquette;
English usage, spelling, grammar and punctuation;
Basic mathematics
Ability to:
Perform highly responsible specialized clerical work in completing a wide variety of personnel transactions with a high degree of accuracy;
Understand and carry out assigned work with minimal supervision;
Learn employee management system – HRS (Human Resource System);
Learn and use technology and computer software applications as appropriate to the work;
Maintain confidentiality of Personnel materials and information;
Compose routine correspondence independently;
Perform mathematical calculations with speed and accuracy;
Understand and carry out oral and written instructions;
Maintain and control multiple tasks/projects simultaneously while working under the pressure of strict, recurring deadlines;
Maintain patience and tolerance when working with “difficult” individuals;
Assume responsibility and exercise sound judgment;
Deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise and firmness;
Recognize situations that need to be brought to the immediate attention of a Personnel Administrator;
Communicate effectively by telephone, in person and in written form;

EXAMPLES OF DUTIES:
Performs clerical duties pertaining to personnel;
Coordinates daily coverage for classified absences;
Assists with completion of verification of employment requests;
Provides approved information and answers inquiries involving questions of interpretations of the personnel policies and procedures of the District ;
Assists with AESOP Substitute System;
Checks various personnel transactions for conformance to regulations (IE, tracking long-term substitute assignments);
Composes and word processes routine correspondence;
Serves as District resource and data entry person on attendance issues such as medical, maternity, personal necessity, personal business, workers’ compensation (with Benefit Technician), family care leave and other leaves of absence, coordinates with employee and payroll department;
Calculates and inputs vacation and sick leave amounts and generates information for yearly vacation payoffs and for employee termination for payroll;
Processes jury duty summons and checks;
Inputs data for all employees into SmarteHR (attendance system);
Compiles and prepares periodic and special attendance reports pertaining to personnel and payroll operations;
Operates office equipment such as a personal and networked computer and printer, typewriter, copy equipment, voice messaging and electronic mail systems, telephone equipment, and several types of software;
Maintains specialized and other personnel files;
Compiles and prepares periodic and special reports pertaining to personnel operations;
Attends assigned meetings related to area of specialization;
Generate detailed personnel information reports utilizing HRS and PC product system software – “Labels, Lists and Letters”;
May direct work of assigned clerical personnel;
Performs related work as required
