RESPONSIBILITIES AND DUTIES: The Administrative Assistant responsibilities and duties are primarily to be the front line of the learning center, coordinate enrollments and admissions of new students, manage the office and perform other duties as assigned by Supervisor. Front line: Reflect a welcoming and positive image of the school to all callers, parent and visitors. Answer all telephone inquiries-know enough about the school policies and procedures to respond to all inquiries with basic information on the phone. Greet visitors appropriately in all affairs of the school community Oversee students for general security during onsite classes & tutoring, including sign in and out, lunch & snack breaks, as required by EdCode. Provide “back-up” supervision of students to teachers during breaks and snack time. Enrollment: Work directly with inquires on the enrollment process. Data entry of all enrollments and maintain student information system data. Request and track of all student records Keep track of all inquiries according to date and maintain follow-up system (leads) Office Management: Open, date stamp and distribute the mail each day. All shipping of school mailing, (including intervention notices, Special Ed, invoices, etc.) Copy and keep a supply of all marketing items, including brochures, calendars, newsletters, and enrollment applications, and employee forms, (vacation request, reimbursement forms). Staff support, assisting teachers with completions of their job responsibilities, eg., IT issues, family calls, faxing, copying, mailings. Are not expected to make phone calls for students, unless necessary. Complete training crisis procedures along with teachers. Securing general school supplies for events and daily use. Type and send notices to parents on request of staff with approval of Site Coordinator. Assist Site Coordinator in planning and executing all activities of the campus. Responsible for curriculum inventory.
