DEFINITION:

The job of “Executive Assistant to the Superintendent” is done for the purpose/s of providing clerical support to the Superintendent by communicating information to staff, the public and other districts; ensuring compliance with financial, legal and administrative requirements; providing information to the Board of Trustees when requested.    

 

REQUIRED QUALIFICATIONS AND ESSENTIAL JOB FUNCTIONS:

  • High School Diploma or equivalent; Advanced Education is preferred
  • Prior job related experience with increasing levels of responsibility for a minimum of three years.
  • Knowledge of current clerical methods and standard office equipment/software in order to assist the Superintendent for the purpose of providing support for his/her administrative functions.
  • Demonstrate an understanding of the rules/regulations related to assigned functions, financial/statistical recordkeeping, and have a strong command of the correct use of the English language with correct spelling, grammar and punctuation in both written and verbal forms. 
  • Monitors assigned activities to ensure compliance regulations and critical timelines are met.
  • Skills to prepare written materials for the purpose of conveying information to appropriate parties.
  • Evaluate and respond appropriately to inquiries from the board of trustees, staff, parents, students and the public.
  • Supervise district office clerical staff and manage daily functions of the front office.
  • Acts at the liaison for the Board of Trustees and supports their administrative functions by researching policy and regulation updates, preparing the formal agenda and minutes. 
  • Coordinates and participates in various public relations activities. 
  • Interpersonal skills to relate to parents, students, staff and the public.
  • Ability to speak a second language is desirable.
