JOB SUMMARY:
The administrative assistant performs administrative duties for executive management and other office/field staff in support of our client programs, company mission and core values.  The incumbent is tasked with heavy information management responsibilities and must demonstrate advanced proficiency in utilizing MS Excel, MS Access, MS Word, Outlook and web-based applications.  It is crucial that the administrative assistant have the ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, be proactive and self-motivated, resourceful and efficient, with a high level of professionalism and confidentiality at all times. This person must be exceedingly well organized and detail-oriented, flexible and adaptable, have strong multi-tasking and time management skills, and enjoy the administrative challenges of providing the highest level of support and customer service to both internal and external clients.

ESSENTIAL FUNTIONS:
Essential functions include, but are not limited to:
•    Manages and maintains critical timelines, client records and reports to ensure compliance with regulatory and company standards.
•    Ensures office workflow and information management processes meet or exceed HIPAA compliance and company standards.
•    Develops and maintains key critical measures and data management systems (reports, spreadsheets and databases) for clients, direct care staff and management.
•    Efficiently and effectively manages high volumes of email and other data, ensuring accurate and timely responses and data entry/reporting.
•    Proactively identifies opportunities to create and implement efficiencies across office functions to best support the needs of our clients, direct care staff and the management team.
•    Accurately and timely collects, records and reports client and direct care staff attendance records to appropriate departments/personnel.
•    Maintains organization and appearance of office support areas and organizes, catalogs and maintains materials and office resources.
•    Assists with special projects, presentations, meetings and material preparation.
•    Proactively researches, identifies, and accesses internal/external resources in support of client, staff and management needs.
•    Facilitates and fosters interdepartmental collaboration, communication and information flow.
•    Provides back up support to reception functions as needed (i.e. promptly and professionally greets internal and external clients/visitors; answers, screens and directs calls to the appropriate party, etc.).
•    Performs database entries, searches and maintenance as well as filing, copying, scanning, word processing and other duties as assigned.

QUALIFICATIONS/EDUCATION/EXPERIENCE:
•    Minimum of 3 years experience providing high-level, administrative support in a fast-paced, client centric environment.
•    Must have advanced knowledge of MS Excel, MS Access, MS Word, Outlook and web-based applications.
•    Knowledge of HIPAA regulations/compliance standards and practices.
•    Associates or Bachelors degree preferred but not required.

•    Ability to pass Department of Justice background checks.
•    Ability to provide proof of negative TB test or chest x-ray.
•    This position requires the following physical activities: bending, stooping, kneeling, twisting, reaching, sitting, standing, walking, lifting, talking, hearing, and visual acuity, and the ability to lift up to 50 lbs.
