Job Description / Essential Elements: Print   

BASIC FUNCTION:
Under the direction of an assigned Director, perform a variety of responsible personnel and clerical duties related to certificated and classified staff; prepare and maintain personnel records and files; provide information and assistance to employees, administrators, job applicants and the general public regarding personnel functions, District policies and procedures; maintain confidentiality of sensitive and privileged information.
REPRESENTATIVE DUTIES:
Perform a variety of responsible personnel and clerical duties related to certificated and
classified staff; answer telephones and take and relay messages as appropriate; greet and screen visitors; make appointments, maintain calendar of employment activities and arrange meetings.E
Provide information and assistance in person or on the telephone to District personnel, staff and the public regarding a variety of personnel matters, such as promotional opportunities, position vacancies, examination requirements and personnel regulations, policies and procedures; maintain confidentiality of sensitive and privileged information. E
Receive and process information for personnel requisitions; prepare and distribute job
announcements; place advertisements in various media; receive applications and review for completeness; maintain logs of applicants and related forms. E
Locate classified and certificated substitute staff; identify location and hours required and inform substitutes; assure substitutes hold appropriate clearances and credentials; process related paperwork; post absences into the County system; maintain related records. E
Prepare and maintain personnel files, records and folders; type and duplicate a wide variety of materials including sensitive and confidential reports, documents and related correspondence. E
Complete verification of employment requests; compile necessary information regarding salary and employment dates. E
Assist employees and applicants in completing and submitting a variety of forms regarding employment, benefits, credentials, payroll and other matters. E
Assist in scheduling and coordinating oral interview panels and written examinations; administer and score examinations as assigned; establish eligibility lists; notify final candidates; provide orientation for new employees. E
Arrange for fingerprinting of applicants; follow up on fingerprint clearances not received in a timely manner. E
Inventory and order office supplies, forms and other materials as necessary; prepare purchase orders and maintain records of expenditures. E
Operate a variety of office equipment including a computer, copier, fax machine, calculator, typewriter and a shredder. E
Receive, sort, review and distribute incoming mail and process outgoing mail. E
Attend a variety of meetings, conferences and in-service trainings as assigned.
Recommend revisions, modifications and development of recruitment and testing procedures.
Perform related duties as assigned.

Answer telephones and greet visitors courteously.
Learn, interpret, apply and explain rules, regulations, policies and procedures related to
classified and/or certificated personnel.
Learn Merit System rules and regulations.
Screen and process employment applications and other personnel-related documents.
Assist employees and applicants with processing enrollments and forms.
Maintain confidentiality of sensitive and privileged information.
Maintain records and files.
Operate a variety of office equipment including a computer and assigned software.
Determine appropriate action within clearly defined guidelines.
Add, subtract, multiply and divide quickly and accurately.
Understand and follow oral and written instructions.
Complete work with many interruptions.
Communicate effectively both orally and in writing.
Establish and maintain cooperative and effective working relationships with others.
Type at 35 words per minute from clear copy.
EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school and two years of responsible
clerical experience involving public contact.
LICENSES AND OTHER REQUIREMENTS:
Some positions in this classification may be required to speak, read or write in a designated second language.

PHYSICAL DEMANDS:
Dexterity of hands and fingers to operate a computer keyboard.
Seeing to read a variety of materials.
Hearing and speaking to exchange information in person and on the telephone.
Sitting for extended periods of time.
Bending at the waist, kneeling or crouching to file materials.
HAZARDS:
Potential for contact with dissatisfied or abusive individuals.
Bilingual Skill(s) Stipulation:
Where a bilingual stipend has been negotiated by the CSEA/CUSD contract, the employees shall translate materials from English to Spanish and/or Spanish to English, interpret for students, parents, or staff as assigned by the position.
