SENIOR CLERK TYPIST/REGISTRATION AND ATTENDANCE

 

 

DEFINITION

Under general supervision, to perform a variety of clerical duties of above average difficulty in a District department or school office including typing a variety of materials, filing, telephoning, regular contact with students, teachers and other District staff, parents and public, and various agencies with interest in school matters; use standard and occasionally specialized office equipment; and to do related work as may be required.

 

CLASS CHARACTERISTICS

This is the highest level in the general clerical series.  Positions in this class are distinguished from those in the next lower classification of Clerk Typist by the assignment of duties requiring, in addition to general clerical ability, a greater working knowledge of the technical subject matter and functions of the office to which assigned.  The work is usually varied in nature, requiring the incumbent to secure more information than is given with the assignment and involves varied applications of standard and technical concepts and procedures for solutions to problems. 

 

EXAMPLES OF DUTIES

The tasks listed in this section are representative of duties assigned to positions in this classification.  This list is not intended to be an exhaustive list of all of the tasks assigned to positions in the classification, and it is not expected that all of the tasks listed are necessarily assigned to all positions in this classification.

 

Has a continuing primary responsibility for clerical work including tasks such as standard, narrative, and statistical typing, proofreading, checking, filing, reporting data on records, and compiling information for reports and summaries; regularly answers telephone, takes messages and serves as receptionist to visitors, staff, students, parents, and community; answers questions that may require a thorough familiarity with District or school policies and procedures; obtains the necessary work data on own initiative; determines proper format for finished reports; refers matters requiring detailed policy decisions to the supervisor.

secures and processes incoming student cumulative files; establishes and maintains incoming student permanent records file on computer system; obtains, reviews, evaluates, and distributes records, transcripts, test results, permits, and materials and transcribes data onto permanent records, tags students for all school programs (i.e., E.L.D., R.S.P., S.D.C., Migrant Education, Title I), and any program implemented in the Rosemead School District for district, State, or Federal reports; forwards transcripts to other schools and institutions; assists administrators in preparing master schedule and enters all related student information into computer database; enrolls new students and verifies address for attendance eligibility and enters data into computer database; requests cumulative records from other schools and/or immunization records; maintains file on grade sheets; assists academic advisors with student tracking and identifying; prepares lists, forms and other documents related to promotion/retention; may provide information related to cumulative files to authorized personnel; computes grade point averages for all students; calculates student credits for middle school and high school; enters, updates, and maintains student information on computer database; prepares correspondence, forms, lists, agenda, minutes, and other documents as required and file as needed; maintains absence lists, files absence notes and verify absences by calling parents; types requisitions, receives, shelves and distributes supplies; directs and instructs student helpers in the performance of clerical and office duties; monitors student conduct in office areas frequented by students, receives, sorts and routes mail; administers first aid, and calls and locates nurse in emergencies; uses standard computers and software to maintain databases; attends meetings as required; and provides high quality customer service to students, staff, and public.

 

 

EMPLOYMENT STANDARDS

            Knowledges and Abilities

Knowledge of:  Modern office practices and methods, procedures and machines including the preparation of business correspondence and report and filing; written and spoken English grammar and composition; District policies; procedures and other regulations governing the area of assigned responsibility.

 

Ability to:  Perform difficult and complex clerical work involving independent judgment; independently make clear and comprehensive reports and keeps a variety of complex records; understand, interpret, and explain a wide variety of rules, regulations, and procedures to others; develop and maintain cooperative relationships with those contacted during the course of work..  Use computers and maintain databases; and be sensitive to the needs of students and parents.

SKILLS

Pass a keyboarding test at a rate of 45 words per minute from clear, legible copy.  Computer experience and/or experience in a computerized office environment preferred.  May be required to receive training in the operation and use of a computer. 

 

REQUIRED LICENSES AND/OR CERTIFICATES

A valid and appropriate California Driver’s license may be required.  A Standard Red Cross First Aid Certificate is required after employment.

 

EDUCATION AND EXPERIENCE

            Education:  Equivalent to the completion of the twelfth grade.

 

Experience:  Two (2) years of increasingly responsible clerical experience preferably including some familiarity with the department or program to which assigned or one (1) year at/or equivalent to the level of Clerk Typist in the Rosemead School District.

 

PHYSICAL DEMANDS AND WORKING CONDITIONS

Light to moderate walking and standing; moderate to prolonged (up to 2 hours) periods of sitting; lifting of light weight materials (less than 20 pounds).  Good arm, hand, and finger dexterity in order to operate computer keyboard, typewriter, and other office equipment.  Visual acuity to read words and numbers; and hearing to communicate in person or over the phone.
