ATTENDANCE CLERK BASIC FUNCTIONS Under supervision, to maintain accurate student enrollment and attendance records, to generate monthly reports, to perform various clerical work and to perform related duties as required. EXAMPLE OF DUTIES Posts and maintains student average daily attendance (ADA) records. (E) Prepares periodic attendance reports. (E) Processes transfers, master absence list, absence excuses, tardy slips and re-admittance forms. (E) Verifies absences with parents. (E) Requests and transmits cumulative folders. (E) Maintains and balances Association of Student Body (ASB) accounts. (E) Issues checks for student activities expenditures. (E) Assists in scheduling assembly and other school events and informs students and public of these. (E) Maintain records of tickets sales. (E) Maintains student records files. (E) Composes and types correspondence and memos to parents. (E) Expedites use of school facilities of outside groups and student groups. (E) Administers first aid to sick or injured students as needed. (E) Performs related duties as assigned. KNOWLEDGE AND ABILITIES Knowledge of: Modern office practices and procedures; Correct English usage, grammar, spelling, punctuation and arithmetical concepts; Standard office machines and equipment including computer input, retrieval systems; Routine and commonly dealt with legal mandates, policies, rules, regulations and operational procedures. Ability to: Maintain accurate and complete attendance records; Perform responsible and specialized clerical functions requiring speed and accuracy; Understand and follow complex oral and written instructions; Type at a speed of 45 words per minute; Establish and maintain cooperative and effective working relationships with those contacted in the course of work; Relate effectively with racially and ethnically diverse staff, students and community. EDUCATION AND EXPERIENCE One year of general clerical and typing experience involving public contact responsibilities. Graduation from high school or equivalent. WORKING CONDITIONS Environment: Office environment subject to constant interruptions. Physical Abilities: Hearing and speaking to exchange information. Dexterity of hands and fingers to operate a computer keyboard and other office equipment. Seeing to read documents from straight and rough copy. Sitting for extended periods of time. Periodic stooping, bending and standing. SECRETARY I BASIC FUNCTION Under general supervision, to perform a wide variety of secretarial, word processing (including use of database), and clerical work of moderate difficulty in school or district office. Provides clerical support to the assigned administrator (s); and to do related duties as required. REPRESENTATIVE DUTIES Performs a wide variety of clerical work related to the function at school site or department to which assigned; (E) Independently or in accordance with general instruction, composes correspondence on a wide range of subjects, requiring a knowledge of procedures and policies of the assigned area; (E) Types a variety of materials from brief verbal or written instructions; (E) Prepares and compiles various departmental records and reports; (E) Sets up and maintains a variety of files and materials in a confidential manner; (E) Makes appointments for administrator (s) and screens callers and correspondence; (E) Sorts and distributes mail within the department; (E) Serves as receptionist and gives information or directs visitors, parents or students; (E) Communicates with a wide variety of staff and community members; (E) Answers inquiries concerning standardized school policies, procedures and regulations; (E) Inputs various information into the computer and performs routine data processing duties; (E); Operates a variety of office machines including copier, typewriter, computer and computer terminal. (E) Order, receive, check-in and maintain an inventory of department materials and supplies and maintain a log for requisitions for budget purposes; (E) Prepare records for microfilming and keep a log of records microfilmed each year; (E) Process student work permits (summer, winter and spring breaks); (E) Performs other related duties as assigned. When assigned to a high school site, the following additional duties may be performed: Schedules and monitors period teacher substitutes and ascertains that lesson plans are available; (E) Processes “request to be absent” forms for field trips, conferences and staff development and arranges for all day subs. (E) Maintains a volunteer period substitute list and fills out time cards and absence reports; (E) Coordinates repairs for equipment; (E) Supervises student volunteers; (E) KNOWLEDGE AND ABILITIES Knowledge of: Modern office practices, procedures, equipment, filing systems, business forms, letter and report writing and proofreading techniques; Computers and various computer programs; Correct English usage, spelling, grammar and punctuation; Telephone techniques and etiquette; Record keeping procedures; Oral and written communication skills. Ability to: Type at a minimum speed of 45 words per minute; Organize work and meet deadlines; Develop and maintain appropriate files; Understand and carry out oral and written instructions; Establish and maintain cooperative and effective working relationships in various departments.
