BASIC FUNCTION: Provide technical support in an assigned department who oversees the use of restricted state and federal funds. REPRESENTATIVE DUTIES: (Incumbents may perform any combination of the essential functions shown below. This position description is not intended to be an exhaustive list of all duties, knowledge, or abilities associated with this classification, but is intended to reflect the principal job elements accurately.) E = Essential Functions Research, analyze, review, correct, and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures. E Research and compile information and compute statistical data for technical skills training programs and special projects as assigned. E Prepare and maintain a variety of records, logs and files, including information of a confidential nature; maintain confidentiality of information and records. E Provide accurate and timely entry of a variety of data in various computer software programs. E Independently respond to requests for technical skills assistance regarding District programs, policies, procedures, and regulations; receive complaints and respond according to District procedures and guidelines. E Interpret and apply rules and regulations as appropriate to assigned duties. E Independently compose correspondence; process administrative details not requiring the immediate attention of the administrator. E Obtain and provide information involving public contact. E Plan, organize and coordinate office activities and communications. E Schedule meetings, conferences and appointments; maintain calendar; arrange travel. E Attend meetings and support the District’s goals to increase the technical skills of employees at all levels of District operations. E Assign and direct the work of other employees as required. E Perform related duties as assigned. MINIMUM QUALIFICATIONS TRAINING, EDUCATION AND EXPERIENCE: Any combination of education, training and/or experience equivalent to: an associate’s degree in related courses and two years of relevant experience. LICENSES AND OTHER REQUIREMENTS: Administrative Assistant I: Pass District’s test with 70% passing rate Valid California Driver’s License Employment eligibility will include fingerprints, tuberculosis and/or other employment clearance KNOWLEDGE AND ABILITIES KNOWLEDGE OF: Federal and state regulations, District policies, and State Education Code in areas of responsibilities Correct English usage, grammar, spelling, and punctuation Specialized record-keeping techniques Telephone techniques, systems and etiquette Good communication skills and techniques Interpersonal skills using tact, patience, and courtesy Computer software, hardware, and related technology ABILITY TO: Perform a variety of proficient, specialized technical skills duties involving specialized knowledge in an assigned area Interpret, apply and explain rules, regulations, policies and procedures Understand and follow oral and written directions Communicate effectively in English both orally and in writing Compose correspondence and other written documents independently Meet schedules and timelines Maintain accurate records Analyze situations accurately and adopt effective courses of action Perform duties with awareness of all District requirements and policies Work cooperatively Organize and coordinate office activities Understand and work within scope of authority Work independently with little direction Work confidentially with discretion Complete work accurately despite interruptions Operation of standard office equipment including computers and effective use of software applications WORKING CONDITIONS ENVIRONMENT: Office environment; fast-paced work, constant interruptions PHYSICAL REQUIREMENTS: Consistent mental alertness; sitting or standing for extended periods of time; lifting, carrying, light to moderate weight objects, occasionally up to 35 pounds; push/pull exerting force to approximately 20 pounds; kneeling and bending at the waist, reaching overhead, above the shoulders and horizontally; dexterity of both hands and fingers to operate a computer keyboard and other office equipment; hearing and speaking to exchange information in English, in person or on the telephone, and make presentations; seeing to read, write and use the computer.
