KIPP San Jose Collegiate is a college-preparatory high school that opened in August 2008 in East San Jose that will serve the students of KIPP Heartwood Academy, a middle school in Alum Rock, and other students from East San Jose who are committed to doing whatever it takes to get to college. Students, parents, and staff members commit to excellence, doing whatever it takes to make sure every single student matriculates to and is successful in the nation’s finest four-year colleges and universities. In addition to academic rigor, we are committed to building leaders of tomorrow who are confident, poised and committed to make positive change in their communities and the greater global community. Approximately 90% of our students will be the first in their families to go to college.
Reporting to the Operations Manager, the Student Services Coordinator is responsible for overseeing the day-to-day operations of the school. He or she will play an integral role in creating and implementing policies and systems for the office and helping to establish a school culture centered on our core values.

Major Job Responsibilities:
Daily Operations
? Oversee school’s main office (incoming calls, faxes, copy machines, files, mail and deliveries, etc.).
? Coordinate parent requests for student early dismissal to ensure that proper dismissal process is followed.
? Welcome and direct visitors as needed and ensure the proper check in process is followed.
? Maintain and update any necessary student data and information via Powerschool.
? Enter tardies in lunch detentions submission link.
? Support Operations Manager and Principal with any additional reporting or paperwork.
? Available to translate for parent meeting when necessary.
Attendance Accounting
? Distribute tardy slips as needed to students beginning at 8:01 am.
? Run absentee report by 9:15am and call parents of absent students by 10:30am.
? Print and distribute weekly attendance sheets to teachers every Monday morning by 10:00 am.
? Confirm that all tardies have been marked in PowerSchool accurately by the end of each day.
? Turn in all attendance sheets to Operations Manager with all necessary signatures and backup
Communications
? Work with the Principal to prepare bulletins in English and Spanish to distribute to students or mail home.
? Administer and maintain communication systems with families, acting as parent/community liaison.
? Assist Operations Manager in the preparation of any parent letters in English and Spanish to send home as needed.
? Maintain all school postings and newsletters on site.
? Manage communication systems with families by sending out mailings and using One Call system for school events.
Enrollment
? Manage all incoming applications and maintain enrollment and waitlist documents.
? Send Ops Manager and Vice Principal Enrollment numbers every other Wednesday.
? Give Ops Manger bi-weekly updates of commitment visit schedule. ? Send all recruitment flyers to Junior High schools.
? Assist in lottery preparation.
? Assist in coordinating and leading CTE meetings.
? Manage all incoming new student enrollment paperwork.
? Create and manage files for all new students.
? Maintain completeness and accuracy of all student records, including receiving and sending of cumulative folders through the CUM binder.
? Send out new enrollment numbers per grade level to Ops Manager and Vice Principal
Supply and Equipment Orders
? Manage the ordering of office supplies (staples orders)
? Manage the ordering of supplies and maintenance for all copiers.
Library
? Manage inventory of all textbooks and novels.
? Coordinate textbook check out and check in.
Event Set-up
? Responsible for setting up LCD projector, chairs and tables for special school events.
School Nurse
? Hold and administer medication to students as prescribed only by doctor or physician.
? Attend first aid training and perform first aid as needed.
Food Service
? Manage daily food service operations
? Lunch duty
? Manage lunch application process (checking applications for completeness, managing roster and keeping records of all lunch applications).
Student Support
? Responsible of uniform inventory and sales
? Responsible for collecting and keeping records of various student fees ? Responsible for assigning lockers, collecting locker deposits and keeping accurate records of assigned locker combinations and locker numbers.
Special Projects
? Assist with preparation and planning of Award Ceremonies
? Assist with preparation and planning of Back to School Night
? Assist with preparation and planning of New Parent Orientation Night
? Assist with preparation and mailing of quarterly report cards
? Assist with the local and end of year fieldtrips
? Assist with preparation and planning of school dances
? Assist with school fundraisers
? Perform other duties and special projects as required and assigned by supervisor.
Proficiency in Spanish and English is required.
