SUMMARY OF DUTIES Performs a variety of clerical duties; distributes, checks and processes mail, various forms and applications; provides information on and clerical support for school/program activities; and may be asked to read, speak and write a language in addition to English. DISTINGUISHING CHARACTERISTICS Positions in this class may be assigned to any District facility. Employees receive direct supervision from clerical and/or administrative personnel. Guidance on clerical, procedural and policy matters is readily available. However, since procedures are generally well established, and employee is normally expected to learn them quickly and work without close supervision within a relatively short period of time. Independent judgment is used on a daily basis to handle individual situations, determine work priorities, etc., but an in¬cumbent can only recommend changes in procedures. Hence, situations which cannot be satisfactorily resolved using such guidelines are referred to the supervisor. Clerk Typist is distinguished from Intermediate Clerk in that the former may be the sole source of a complete range of administrative/clerical support whereas the latter classification does not require a proficient level of typing skills and is normally part of an administrative/clerical complex. EXAMPLES OF DUTIES Duties of this class include, but are not limited to: Types a variety of materials; serves as receptionist making appointments, answering ques¬tions and taking messages; maintains filing systems; operates office machines; proofreads; compiles data; provides direction to students, volunteers, etc., on office procedures; arranges for repairs, duplicating services, and computer printouts. Assists parents and stu¬dents in registering for school; establishes student files; posts information onto records; submits records to data processing; performs first aid; issues medication to students; coordinates various activities such as the assignment of student lockers, obtaining referees, securing medical coverage for sporting events, coordinating transportation services; issues, receives and reviews applications for participation in various programs; issues lunch tickets and obtains cafeteria lunch count; issues student passes and call slips. Determines need for supplies, prepares requisitions; locates prices; keeps track of expenditures and available funds in budgeted accounts; receives and distributes materials; maintains payroll records including employees' sick and vacation balances; obtains family/income data and computes child care fees; collects money for various activities; completes various accounting forms; calculates costs for Civic Center Permits and prepares billings; prepares personnel requisitions; compiles data for various reports such as injury, accident, bus service, attendance and performs other related duties. In addition, a person in this class may be asked to write a note in a language in addition to English as well as translate materials and speak a second language. However, the ability to speak, read and write a second lan-guage in addition to English is desirable but not required. SKAs Skills in: Typing/keyboarding at a rate equivalent to 40 words per minute; operating various office machines; safely operating a motor vehicle. Knowledge of: Modern office procedures; principles of good public and interpersonal relations; a variety of school operations, programs, policies, procedures, regulations and laws; accounting and payroll procedures; first aid principles; purchasing procedures; sources of information from which to compile data; proper English, punctuation, spelling and business format. SKAs (Continued) Abilities to: Maintain good working relations; file materials; listen and comprehend instructions; communicate orally; proofread; accurately post data; research and compile information; coordinate and organize work; learn and follow procedures, policies; make simple math computations; handle stress; maintain calm in emergency situations; maintain sensitivity to ethnic, religious, cultural and sexual differences. QUALIFICATIONS Education: Completion of formal or informal education sufficient to possess the necessary skills, knowledge and abilities established for the position. Graduation from high school is desirable. Experience: Experience in performing clerical work is desirable. SPECIAL LICENSE OR LANGUAGE SKILLS Certain positions may require the possession of a valid Class C California Drivers' License. The ability to speak, read and write a language in addition to English, especially Spanish or Armenian, is desirable. PHYSICAL REQUIREMENTS Employees must be physically and mentally able to perform the essential duties of a position with or without reasonable accommodation and without hazard to themselves or others. APPOINTMENT Employees who receive a regular appointment to the class must serve a probationary period of one hundred and thirty (130) days of paid service. During this period, an employee must demonstrate an overall satisfac-tory level of performance; failure to do so shall result in the employee's termination without right of appeal to the Personnel Commission.
