Job Description / Essential Elements:    Print   
OFFICE CLERK STUDENT RECORDS: MIDDLE SCHOOL/ADULT SCHOOL DEFINITION: Under general supervision, to keep detailed records and perform clerical work related to student attendance, grades, registration, and transcripts, and to do related work as required. Staff in this position have responsibility for one or a combination of the following: 1. Maintenance of student grade and registration records. 2. Maintenance of official student transcripts and related files. 3. Provides clerical and secretarial support for counselors, administrators and other staff. EXAMPLES OF DUTIES: Grade and Registration Work: Keys in data input. Student Data Transmittal forms; prepares and distributes student program cards, orders, distributes and checks forms related to the printing of report cards and progress reports; sets up cumulative record folders for new students; maintains and updates cumulative record folders; compiles information and types a variety of materials for student class scheduling; assists in periodic student registration and in registration of new students; mails or supervises the mailing of student progress reports and report cards. TRANSCRIPT WORK: Obtains transcripts and cumulative folders for all incoming students; establishes permanent record files for all incoming students; key in a variety of information on computer file including grades, test scores, attendance, rank in class and grade point average; maintains student registry list and mailing lists; files or distributes to appropriate personnel a variety of cumulative records, health records, test scores and previous grade records; forwards cumulative folders and copies of permanent records to other school district when requested; makes and sends transcript copies to colleges and other schools when requested; prepares honor roll lists; assists with preparation for graduation/promotion by ordering diplomas and fitting caps and gowns. In addition to the above duties, clerk answers telephones and routes calls to appropriate persons; type correspondence and other written materials for school personnel. QUALIFICATIONS: Knowledge of typing, computerized office methods, practices and procedures (ie word perfect, SASI, Etc.), equipment, proper telephone techniques, letter and report writing, correct English usage, ability to type 45 words per minute from a clear copy, corrected score; compile, maintain and prepare records and reports including data processing and/or computers; make arithmetical computations; perform clerical work of average difficulty; pass District test. EXPERIENCE: Two years of typing and general clerical experience. EDUCATION: Equivalent to the completion of the twelfth grade. 10/1990
