ANNOUNCEMENT OF EMPLOYMENT OPPORTUNITY Foothill College Administrative Assistant II - Educational Resources and Instruction Job#08-122 Guaranteed Review Date: 05/02/08 The Foothill-De Anza Community College District is currently accepting applications for Administrative Assistant II, Educational Resources & Instruction, Foothill College. DUTIES AND RESPONSIBILITIES OF THE POSITION INCLUDE: Under the direction of the Vice President of Educational Resources and Instruction, perform a variety of administrative and program support activities. Develop and analyze data. Perform research and complete segments of special projects for Educational Resources; implement and oversee program, project or task elements. Assist managers with a broad range of reports, schedules and activities. Operate a computer utilizing standard and functional-related software and a variety of office equipment. Use advanced Microsoft Excel skills to create complicated spreadsheets. Create, maintain, and monitor all paying assignments for the part-time faculty and full-time faculty with overload (instructional and non-instructional). Request quarterly rollover to generate pay assignments. Enter all master schedule and payroll assignment changes once the rollover has occurred. Create and process all non-teaching assignments. Generate, mail and maintain notification and special contract letters, including: non-instructional assignments (counselors, co-op, NASA-Ames, special education, librarians, and other assignments) and Contract Education (Performing Arts Alliance, Primary Care Program and other contract assignments). Process and maintain employment verifications for the County Office of Education and other organizations, including the Public Employee Retirement System (PERS) and the State Teacher’s Retirement System (STRS). Work closely with District payroll to adjust pay assignments. Create and modify assignments for the Foothill Apprenticeship Program. Run daily Weekly Student Contact Hours (WSCH) reports for the Vice President of Educational Resources and Instruction. Create WSCH comparison reports three times per quarter for distribution to the President, Vice Presidents and all Deans. Provide regular reports to management and users regarding the status of project tasks and schedules. Work closely with campus personnel to complete projects and assignments. Compose correspondence, meeting minutes as well as prepare materials for reports, conferences, presentations and meetings. Perform related duties as assigned. MINIMUM QUALIFICATIONS: 1. Understanding of, sensitivity to, and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of community college students, faculty and staff. 2. Any combination equivalent to an Associate’s degree in a related field. 3. Three years related work experience. PREFERRED QUALIFICATIONS: 1. Knowledge of financial and statistical record-keeping techniques. 2. Knowledge of basic budget monitoring and control. 3. Advanced knowledge and ability in Microsoft Excel. 4. Ability to communicate effectively both orally and in writing. 5. Ability to interact effectively using tact, patience and courtesy. 6. Ability to develop and analyze data. 7. Ability to operate a computer and other office equipment. 8. Ability to use relevant software, such as MAUI, Brio, Excel, MS Word, SIS, and FRS. 9. Ability to perform research and complete special projects. 10. Ability to analyze situations accurately and adopt an effective course of action. 11. Ability to compose letters, memos, or other materials independently or from oral instructions. 12. Ability to meet schedules and timelines. 13. Ability to establish and maintain cooperative and effective working relationships with others. 14. Ability to work confidentially with discretion. APPLICATION MATERIALS: 1.
