PERSONNEL SECRETARY
DEFINITION:
Under general direction, perform complex and responsible clerical and secretarial work, requiring skill and accuracy, in connection with administration of the certificated and classified personnel program; and do related work as required.
TYPICAL DUTIES AND RESPONSIBILITIES
Perform a wide variety of clerical and secretarial duties; calls and assigns substitute employees to school sites on a daily basis; oversees recruitment, interview and hiring process for certificated and classified personnel; maintains and updates personnel status data in the H.R.S. system for all employees on a daily basis; performs and completes accurate payroll procedures on a monthly basis; assists in preparation of certificated and classified employment registers for presentation at Board of Education meetings and sends after-Board letters out as will as updates data in H.R.S. system; maintains classified and certificated personnel files including correspondence, reports, surveys and job descriptions; update District Directory; receives, sorts, and distributes incoming and outgoing mail; acts as receptionist; orders and maintains budget account; orders and maintains office supplies; prepares beginning of the year packets and letters to employees regarding beginning of the year events, assignments, etc.; process fingerprints; type confidential correspondence regarding disciplinary, layoff, and reassignments; create and revise forms as needed; attend workshops as needed to update knowledge of computer systems and personnel policies and procedures; perform other related duties as assigned.
MINIMUM QUALIFICATIONS
Knowledge of:
English usage spelling, grammar, and punctuation; proofreading; personnel filing systems; modern office methods, practices and equipment; receptionist and telephone techniques; preparation of business forms, letters and report writing; District rules, regulations and policies regarding certificated and classified personnel; general knowledge of P.C.’s and programs supported by windows (ex. Excel, Desktop Publishing, etc..); H.R.S. data entry system.
Ability to:
Perform responsible clerical and secretarial work using independent judgment, speed and accuracy; learn, interpret, and apply school district policies; compose letters independently; understand and carry out oral and written directions; compile and maintain accurate and complete records; make arithmetical calculations quickly and accurately; meet the public tactfully and courteously and answer questions in person or over the telephone.
Experience:
Two years of responsible clerical and secretarial experience.
Education:
Graduation from high school, preferable including or supplemented by courses in office skills and procedures.
