Job Summary

The Program Specialist at South Bay Adult School (SBAS) is a 12-month position that serves as an essential operational and administrative resource for the adult education program, working under the direction of the SBAS Director. The work schedule includes afternoon and evening hours Monday through Thursday, with a morning and afternoon shift on Fridays. Bilingual proficiency is preferred (Spanish or other languages spoken by the local community). As the primary point of contact for students, faculty, staff, and external agencies, the Program Specialist ensures seamless program communication, accurate enrollment processing, and efficient day-to-day office operations. Core responsibilities include managing office functions and class logistics, providing work direction and training to clerical support staff, registering students and maintaining accurate records and databases, preparing statistical and narrative reports, serving as a liaison among teachers, administrators, students, and outside agencies, producing written materials such as newsletters and correspondence, representing SBAS at outreach events, and handling tuition collection, reconciliation, and financial reporting. The program focus of this position is on maintaining and growing external workforce preparation and training partnerships with agencies and institutions, with particular attention to technical and compliance requirements. The role also carries a strong emphasis on the implementation, monitoring, and compliance aspects of the California English Language Learner Healthcare Pathway Grant.

The minimum qualifications are a high school diploma or equivalent and at least one year of clerical or administrative experience involving frequent public contact. The ideal candidate is a detail-oriented professional who can manage multiple priorities and exercise sound judgment in a fast-paced, student-centered environment.
