Job Summary

Job Summary

Under the supervision of the Chancellor and/or Dean, the Registrar is responsible for compiling and maintaining school site attendance and student records for General Education and Independent Study Programs; communicates with administration, students, and parents concerning student attendance. Primary responsibilities include, but are not limited to: - Performs general clerical duties that are related, but not limited to, the attendance desk; - Receives, reviews, and verifies all attendance information; clears and posts absences; - Contacts parents and communicates with site administration regarding unexcused and excessive absences; - Notifies parents and/or guardians of student absences for the purpose of maintaining accurate attendance reports; - Sends legal letters for excessive absences as required and set forth by charter school policy and procedure; - Works closely with the Chancellor and/or Dean in order to maintain accurate student counts; - Prepares and maintains site monthly attendance reports and reconciles the report for any corrections; - Researches discrepancies of attendance information and/or documentation for the purpose of ensuring accuracy of attendance data before processing; - Provides requested information to site administration and/or charter school back office provider, as needed; - Refers excessively truant students to Chancellor and/or Dean for further action; - Maintains a variety of attendance records, schedules, and files (manual and computer) (e.g. contact and telephone logs, student attendance, etc.) for the purpose of documenting unexcused and/or excessive absences, as well as providing reliable information; - Obtains attendance records for student entry and exit from campus during school hours (e.g. admission slips, late notices, sign-in/out logs, etc.) for the purpose of ensuring accurate reporting of excused absences and truancies; - Enters and maintains accurate student data in the computerized student information

Requirements / Qualifications

High School Diploma or its equivalent; a minimum of a two-year college degree from an accredited college/university and/or working toward college credits to obtain a degree is desirable; and Two years general clerical work, with one year experience in fiscal recordkeeping, confidential and student records is desirable.
