Title:  Student Information Data & Reporting Specialist   (Special Education)

Reports to: Assigned Supervisor

BASIC FUNCTION:


Under the direct supervision of an assigned supervisor, perform technical and specialized clerical functions related to Special Education Services; perform a variety of clerical-related tasks; coordinate and maintain all special education data records, and other related work as required.

ESSENTIAL  DUTIES AND RESPONSIBILITIES:

  • Maintain SIRAS user accounts and provide technical assistance and troubleshooting for users.

  • Create and maintain SIRAS student IEP data records.

  • Log receipt of IEPs from teachers after a Program Specialist’s review.

  • Fulfills data requests for administrators.

  • Monitor and compare registration data system (SIS) and Special Education system (SES) demographic and Special Education data and update as needed to insure data accuracy and integrity.

  • Create and use queries in SIRAS and AERIES to monitor data for accuracy and compliance.

  • Routinely upload SIRAS Special Education data to CALPADS and monitor error reports.

  • Manually correct non-IEP reported data and resubmit to CALPADS for accuracy.

  •  Coordinate with Program Specialists and teachers to correct non-compliant IEP data.

  •  Request and monitor requests for transfer of student SIRAS records for incoming and outgoing student enrollment.

  • Use CALPADS extracts and reports to monitor and compare Special Education data reporting for compliance and accuracy.

  • Review CALPADS data for accurate and timely reporting of Census Day (Fall 1) and End of Year data reporting for referral to Director and SELPA for certification.

  • Meet state timelines for twice yearly data reporting.

  • Coordinate with District Student Info. Data & Reporting Specialist and SIRAS support regarding Special Education data accuracy and certification of data to CALPADS.

  • Maintain knowledge of current IEP requirements, CALPADS reporting requirements and SIRAS/CALPADS data system updates and reporting requirements.

  •  Review and compare student eligibility criteria reporting between multidisciplinary reports and IEP reported data for accuracy.

 

EDUCATION AND EXPERIENCE

Any combination equivalent to: Graduation from High School supplemented by coursework or training in business practices and office management, other related skill areas and three years of responsible and varied clerical experience. 


Preferred: Completion of two years college study in management information systems or a closely related field, supplemented by training and coursework in education, business organization and planning, information systems, or closely related fields; and training, education and experience which demonstrates an ability to perform the duties of the position, which includes a minimum of two years of increasingly responsible experience in an information systems environment. 

KNOWLEDGE AND ABILITIES:

  • Thorough knowledge of SIRAS and CALPADS reporting systems.

  •  Knowledge of legal requirements of Individual Education Plans.

  • Ability to plan and manage multiple tasks in a timely manner.

  • Ability to use common office machines and computer driven word processing, spreadsheet and file maintenance programs.

  • Ability to format data files and modify such structures as required to analyze data.

  • Ability to effectively express ideas orally and in writing

  • Ability to establish and maintain effective working relationships as necessitated by work assignments.

  • Work collaboratively with employees throughout the organization to support the gathering of information/data

  • Ability to maintain complete and accurate records and to develop meaningful reports, charts and graphs from them

  • Ability to use common office machines and popular computer driven word processing, spreadsheet, and file maintenance programs

  • Ability to plan and manage multiple tasks in a timely manner

  • Ability to design and format data files and tables and to modify and update such structures as required.

  • Ability to effectively express ideas orally and in writing

  • Ability to establish and maintain effective working relationships as necessitated by work assignments.
