Job Summary
This position is located at 710 Old Stage Rd, Salinas, CA. Maintains and manages program participant education records, including updating enrollment and disenrollment platforms, assessments, transcripts, attendance, and course completion. This position will process student enrollments in compliance with state public school requirements; establish and maintain hard-copy files, including records of transcript requests and receipt; perform transfer transcript evaluation and entry of transfer transcript data into file records as hard-copy and within the student information system (SIS). This position is responsible for updating and maintaining all applicable JMCS databases. The Assistant Registrar will interact with the public regarding student record inquiries and provide information or direct parties to the appropriate resource (i.e. JMCS website or HQ for transcript requests), provide administrative support to education staff, and interact with JMCS administrators to ensure data and hard copy student records meet compliance requirements.
Requirements / Qualifications
Two or more years of relevant experience in administrative support, enrollment, intake, customer service, student services, education, youth development, community outreach, or social services. Proficiency with Google Workspace, Microsoft Office Suite, and electronic database or student information systems. Experience working in an educational setting as a registrar, or comparable field, preferred. Experience working with young adults and families and assisting with online applications, digital forms, document collection, or database systems preferred. Bilingual proficiency in English and Spanish preferred, including the ability to speak, read, and write well enough to prepare routine communications.
Strong communication, customer service, and relationship-building skills. Ability to explain detailed processes clearly and conduct welcoming individual or group orientations. Strong organization, follow-through, accuracy, and attention to detail. Ability to manage multiple students and families at different stages of intake and follow-up while meeting deadlines. Ability to maintain accurate documentation, confidentiality, professional judgment, and appropriate referrals. Cultural humility and the ability to work effectively with students and families from varied backgrounds.

Create, update, and maintain student hard copy files.
Maintain and update student electronic records in student information system (PowerSchool) .
Request, attach, and transfer academic records to electronic student record within five working days.
Develop and maintain records of student achievement including assessment results, report cards, waivers, and graduation packets.
Manage, update, and maintain daily, weekly, and monthly JMCS attendance tracking systems and digital files and provide weekly attendance reports to the Site Director.
Enter program participant enrollment, attendance, credit tracking, and academic status data into student information system or other online educational databases as needed.
Maintain positive relationships with regional school districts and other educational institutions to secure timely acquisition of student records.
Assist with graduation and other program special events.
Maintain and ensure discretion and confidentiality of student information.
Communicate and work closely with the Site Director and JMCS Administrative Staff to comply with all applicable federal, state, and school education standards.
Maintain professional, open channels of communication with both students and staff.
Act as a role model to other staff and students.
Ensure the policies and procedures of JMCS and Rancho Cielo are strictly adhered to.
Administer appropriate protocols, procedures, and Student Handbook policies with students.
Perform other administrative duties as assigned.
