The position hours will be 8:00 am to 04:30 pm; Monday through Friday. The right candidate will act as the district office receptionist and perform a wide variety of clerical work for all departments; coordinates the flow of related communications, correspondence and information to all departments, employees and community members as required.

GENERAL DEFINITION: Acts as district office receptionist, performs a wide variety of clerical work for all departments; coordinates the flow of related communications, correspondence and information to all departments, employees and community members as required. ESSENTIAL DUTIES AND RESPONSIBILITIES: Serves as district office receptionist, initiate, screen, and receive telephone calls; take, retrieve and relay messages as needed; receive visitors, including staff, administrators, parents and public; provide assistance or direct to appropriate staff; respond to inquiries. Provide general information to students, parents, staff and others concerning District operations and activities; including social media, written communications, flyers, etc. Coordinate and assist with student enrollment at the district level enrollment in collaboration with other district and school site staff. Prepare, Receive and Distribute mail and packages to appropriate departments; Process district requisitions and purchasing requests for the District Office. Maintain automated files and records; initiate queries and generate a variety of computerized lists. Responsible for the ordering, verification and distribution of all district office supplies. Process and maintains facility use agreements; community groups, internal use, etc Prepare and distribute for mailing payroll, accounts payable warrants. General clerical and accounting duties as directed. Prepare and maintain a variety of records, logs and reports related to assigned activities; establish and maintain filing systems Coordinate the maintenance of copiers, mailing and other operational devices with vendors and IT Department Assist with ordering of curriculum and related materials for Student Services department Provide clerical support to Business Services, Human Resources, Student Services, and Superintendent’s Office, as needed. Must be able to meet and interact with employees and parents/guardians in routine situations, which require confidentiality, tact, and customer service approach. Provide additional support to appropriate personnel with the coordination of special events; student recognitions, including board meetings. Other related duties as assigned. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE: High school diploma or equivalent and three years of relevant clerical experience, preferably in a school environment. Must have some experience in accounting and dealing with the public. CERTIFICATES AND LICENSES: Valid California drivers’ license TB, and criminal justice fingerprint clearance. KNOWLEDGE AND ABILITY TO: Knowledge of office procedures and practices, including filing systems, receptionist and telephone techniques, letter and report writing, and sound bookkeeping procedures; English usage, spelling, grammar and punctuation; ability to operate common office machines. Ability to interpret and apply pertinent school district procedures, policies, laws, rules and regulations, and to apply them with good judgment in a variety of situations. Proficient in use of word processing, spreadsheets, and database management software. Knowledge of confidentiality laws. Meets the public tactfully and courteously and answers questions correctly; compiles and maintains accurate records and files. Establish and maintain cooperative relationships with those contacted in the course of work. Ability to use a computer and job-related software.
