Job Description / Essential Elements:    Print

EL RANCHO UNIFIED SCHOOL DISTRICT

CLERK TYPIST I

DEFINITION
Under supervision, perform a wide variety of general clerical work including typing a wide variety of materials; and to do related work as required.

CLASS CHARACTERISTICS
This is the entrance level for clerical employees required to have typing skill but no previous clerical experience.  Employees in this class normally work under close and continuous supervision, performing a group of repetitive or closely related duties according to established procedures.  While a variety of tasks may be assigned, each step usually fits a pattern which has been established and explained before work is started.  Generally, work is observed and reviewed both during its performance and upon completion.  Changes in procedure or exceptions to rules are explained in detail as they arise.  Clerk Typist I’s are normally considered to be on a training status, and as assigned responsibilities and breadth of knowledge increase with increased experience, may reasonably expect their positions to be reassigned to the next higher class of Clerk Typist II.  Under this concept, positions assigned to the class of Clerk Typist II which become vacant may reasonably be filled at the Clerk Typist I level, with the understanding that future reassignment to the Clerk Typist II level in most cases is to be expected.  In some instances, however, occurring most frequently in offices with more than one clerical employee, work is assigned and supervised in such a way as to permit the performance of only the most routine duties with little opportunity for exercising independent judgment.  In such cases, a position may remain a Clerk Typist I for an indefinite period of time.  Some positions may require the ability to read, write, and speak Spanish fluently.

EXAMPLES OF DUTIES
Does a wide variety of clerical work including typing, proofreading, filing, checking and recording information on records; answers the telephone and waits on students or the general public, giving information as required; prepares student registration documents; types letters, memorandums, book lists, bulletins, or other material from oral direction, rough draft, copy, or notes.  Prepares purchase orders; prepares ditto masters and mimeograph stencils; operates adding machines, duplicating machines, and other office appliances; composes routine letters; maintains employee attendance records; types suspension letters and forms; posts scores and grades to student records; prepares transcripts of student records; readmits students; posts absences to apportionment card; makes telephone verification of absences; type master absence lists; sorts and files documents and records according to predetermined classifications, maintaining alphabetical, index, and cross reference files; performs arithmetical calculations; mails out letters, forms and applications; receives, sorts, and distributes incoming and outgoing mail; acts as a receptionist; assists in making out forms; prepares simple statistical reports; requisitions supplies; may operate computer terminal.
