General Purpose

 

Under general supervision, provides matriculation services to prospective and new students on campus or at schools; provides referrals to appropriate resources and programs; and performs related duties as assigned.

 

Essential Duties & Responsibilities

• Provides information and delivers presentations on campus and in the community to current and prospective students, faculty and staff, parents, high school counselors, community organizations and other colleges and educational institutions; represents the college, department or program at events, such as college and job fairs, orientation programs, community events and outreach events.

• Facilitates matriculation activities including informational workshops, application and enrollment processes with assigned schools.

• Conducts campus tours; assists with and participates in large outreach, orientation and registration events on campus; follows up with students through a variety of communication methods to encourage and ensure students are successfully matriculating.

• Maintains a variety of standard office and specialized records and files; develops and maintains marketing materials, brochures and flyers; maintains spreadsheets and databases; generates sensitive and complex reports, and documents using advanced word processing; maintains and ensures the confidentiality of all student documents and records in accordance with the Family Educational Rights and Privacy Act and established District policies and procedures.

• Demonstrates sensitivity to and understanding of historically minoritized groups and participates in professional development activities to increase cultural competency to enhance equity-minded practices within the District.

OTHER DUTIES 

• Troubleshoots technology issues at off-campus sites.

• Performs related duties as assigned.

 

Employment Standards / Minimum Qualifications

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

• Policies, procedures, goals and objectives of a college outreach program.

• Principles, methods and practices applicable to the design and implementation of public relations, community outreach and college marketing programs.

• District assessment and matriculation policies and procedures as applicable to areas of responsibility.

• Practices and techniques of sound business communication; correct English usage, including spelling, grammar and punctuation.

• The Family Educational Rights and Privacy Act and other District, state and federal laws, rules, regu­lations and policies governing student assessment, testing and records.

• Applicable sections of the California Education Code.

• Safety policies and work practices applicable to the work being performed.

• Uses and operations of scanners, phone systems, computers, standard business software, and database and spreadsheet applications.

Skills and Abilities to:

• Implement and assist with the development of services and outreach activities with schools to recruit and assist new students, particularly at-risk students.

• Represent the District effectively in public settings and one-on-one with school administrators, poten­tial students and the public on a variety of complex issues.

• Interpret, explain and apply complex guidelines, policies and procedures applicable to assigned responsibilities with consistency and a high degree of accuracy.

• Analyze problems, evaluate alternatives and recommend or adopt effective courses of action in accordance with established policies and procedures.

• Compose clear, concise and comprehensive analyses, correspondence, reports, studies, presenta­tions and other written materials.

• Track statistical information utilizing complex spreadsheets and databases.

• Effectively engage and support historically minoritized groups by addressing issues of equity and improving culturally responsive service-oriented practices.

• Communicate effectively orally and in writing and make effective oral presentations to a variety of audiences.

• Maintain confidentiality of District and student files and records.

• Understand, interpret, explain and apply applicable laws, codes, regulations, policies and procedures.

• Operate a computer and use standard business software.

• Exercise tact and diplomacy in dealing with sensitive, complex and confidential student situations.

• Establish and maintain effective working relationships with all those encountered in the course of work.

EDUCATION AND EXPERIENCE

An associate degree in business, education, psychology, communications, English or a related field and one year of outreach, public relations or closely related experience; or an equivalent combination of training and experience.

LICENSES, CERTIFICATES AND OTHER REQUIREMENTS

Certain assignments may require a California driver's license and the ability to maintain insurability under the Districts vehicle insurance program

Employees work under typical office conditions subject to frequent public contact and interruption, and inter­mittent exposure to individuals acting in a disagreeable fashion.
