JOB SPECIFICATION
CLERK II – 9-12 SCHOOL RECEPTIONIST
THE POSITION
Under general supervision, serves as a receptionist; operates a telephone switchboard; performs clerical tasks which follow particular routines in a school or district office; and performs related work as required.

DISTINGUISHING CHARACTERISTICS
Positions in this class have general supervision and receive their assignments from a designated supervisor. Incumbents are expected to operate a telephone switchboard and perform a wide variety of basic office procedural tasks including typing, filing and basic bookkeeping. The duties listed below are typical for positions in the class collectively but no one position will necessarily include all these duties.
EXAMPLES OF DUTIES
The duties listed are typical, but not exclusive:
• Operates a telephone switchboard.
• Receives incoming calls; records information as required and routes calls or information to appropriate departments/staff.
• Receives and greets office callers and refers them to the appropriate office/department/staff.
• Answers questions and provides information regarding school/district.
• Performs a variety of clerical work, including typing, proofreading, filing, checking and recording information on records.
• Posts information to forms, accounts and records.
• Alphabetizes files and re-files papers, cards and reports.
• Operates a variety of office machines including copier, typewriter, calculators and computer.
• Receives, sorts and distributes mail and various reports, statements and documents.
• Participates in district inservice programs.
• Maintains a variety of office machines including copier, risograph, and laminator. This would include such duties as assisting staff with paper jams, coordinating repair services when necessary, ordering supplies, assigning/reassigning copy codes and generating usage reports as needed.
• Assisting with campus security by ensuring that all individuals traveling through the front office follow the proper procedures established by the school (e.g., signing in/out, wearing identification badges, etc.).
• Assisting with the maintenance of the school telephone system. This would include such duties as establishing voice mail accounts for staff, maintaining current telephone greetings for the school and coordinating repair services as necessary.
• Coordinate the usage and assignment of student aides in the front office.
• Monitor the proper functioning of the fire panel and alarm and coordinate repair services when necessary.
• Distribute student work permit applications.
• Assists office staff with student information requests from school security and staff by utilizing school computerized student data system.
QUALIFICATIONS GUIDE
Knowledge of:
• Correct English usage, spelling, grammar, punctuation and math.
• Standard office procedures.
• The operation of a multiple telephone switchboard.
Ability to:
• Operate the telephone switchboard at a central facility.
• Receive and give information over the telephone or in person in a courteous manner.
• Handle a variety of telephone calls and people with tact, diplomacy and discretion.
• Perform a variety of basic clerical tasks with accuracy and speed.
• Learn to operate standard office equipment.
• Work efficiently with frequent interruptions.
• Understand and carry out oral and written instructions.
• Maintain cooperative working relationships with those contacted in the course of work.
• Learn and follow office routines.
TRAINING AND EXPERIENCE
Equivalent to the completion of the twelfth grade; one (1) year clerical experience; or any combination of training and experience that could likely provide the desired knowledge and abilities.
PERSONAL QUALITIES
Maturity and judgment; clerical aptitude; willingness to learn operation of office equipment and procedures.
SKILLS
• Typing 40 words per minute.
• Knowledge in use of computer desirable.
