SONORA ELEMENTARY SCHOOL DISTRICT EXECUTIVE ADMINISTRATIVE ASSISTANT - CONFIDENTIAL BASIC FUNCTION To provide administrative support in all operational matters to the Superintendent so that he/she may devote maximum attention to the central problems of education and educational administration. EMPLOYMENT CLASSIFICATION This is a confidential classification. This person is employed in this assignment as an hourly employee. JOB DESCRIPTION • Serves as administrative assistant to Superintendent; performs a variety of assigned administrative duties, following up on administrative assignments and communicating directives to staff. • Completes correspondence and memos independently or from oral instructions; • Receives and greets public and staff personally or by telephone; answers inquiries; attempt to resolve complaints/problems when appropriate; makes appropriate referrals; • Schedule appointments, schedule meetings and maintains calendar; • Reviews and routes incoming mail; establish and maintain filing systems; • Updates board policies for board approval; act as information source for district policies and procedures; • Prepares drafts of Board agenda and back up material; finalize and post; • Attends and takes official minutes of board meetings; • Drafts resolutions for board approval; • Prepares yearly CBEDS report; • Monitors filing of Form 700 for board members, administrative staff and management; • Maintains interdistrict transfer requests; • Processes appropriate documents/letters relating to student expulsions (notice of hearing, notice of action, notice to extend suspensions); • Assists in preparation of annual audit; • Maintains confidentiality on all district matters • Others duties as assigned. QUALIFICATIONS • High school diploma • Three to five years of successful office experience. • Demonstrated proficiency in using word processing and data base programs on a personal computer including speed and accuracy. •
