QUALIFICATIONS: EDUCATION/EXPERIENCE • A.A. degree or equivalent; • Four years of progressively responsible clerical experience with at least two years in a responsible secretarial capacity, preferably in a school district; • Computer training (Microsoft Office Suite, required). OVERVIEW: Under direction, serve as secretary to Adult School Principal, relieving him/her of clerical and routine administrative details; perform work of above-average difficulty requiring a high level of initiative, judgment, and organizational ability. RESPONSIBILITIES: • Manage data base of classes for online registration each quarter, download new registrations each day and keep website up to date as classes become full or are cancelled; • Manage fee base portion of adult school classes, registration, enrollment and fee collection; • Distribute and do mailings of brochures each quarter; • Prepare receipts, keeps records of monies collected, balance monies and make bank deposits, reconcile check from online provider, divide into accounts; • Manage petty cash account. Make reimbursements, balance and prepare voucher for reimbursement to the account; • Process adult school payroll each month. Track step raises and sick leave; • Provide high school room use schedule and custodial support for adult school classes; • Process room use contract for other schools in the district; • Process purchase orders, receive items, price and sell to students. Order and distribute materials to teachers; • Complete an annual inventory of stores; • Pay bills, prepare and send invoices for billing; • Act as receptionist, screen visitors and phone calls; • Work with the public, answering questions involving an understanding of district policies and procedures; • Manage many of the details of the office, including making decisions based on established policy; • Maintain security of confidential information; • See more in job description attached below.
