JOB SUMMARY
We have an exciting opportunity for an Administrative Associate I, Learning Resource Center position located at our campus in San Jacinto, CA.
Under general supervision of the Dean of Instruction, the Administrative Associate I supports the activities of the Learning Resource Center by performing administrative tasks. The incumbent serves as primary evening and weekend support ensuring efficient and effective operation of the Learning Resource Center.
CONDITIONS OF EMPLOYMENT
• This position serves District-Wide; applicants may be assigned to any district facility. Work hours and worksite locations are subject to change depending on department needs.
• A six-month probationary period must be successfully completed before the selected candidate is considered a permanent employee of the district.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Provide administrative and secretarial support to the Learning Resource Center and the Tutorial Services Specialist
• Assist students with computers, printers (CMS), and programs in the Learning Resource Center computer lab
• In the absence of the Tutorial Services Specialist, provide leadership to the Learning Resource Center tutors in classified, student work-study and volunteer positions
• Schedule meetings and exam proctoring appointments for the Tutorial Services Specialist using MS Outlook Calendar
• Attend meetings as appropriate, take and transcribe minutes, draft memorandums and correspondence relating to conclusions reached; and, follow up on action items
• Assist the Tutorial Services Specialist in coordinating special projects
• Prepare timesheets per established guidelines for Learning Resource Center staff
• Serve as resource for students, instructors, and staff; assist faculty, staff, students and general public with routine inquiries regarding the Learning Resource Center
• Interpret and communicate the policies, practices and procedures of the Learning Resource Center to students, faculty, staff and the general public
• Redesign office forms when appropriate and/or necessary and reproduce, collate, and distribute documents as needed
• Communicate with the Tutorial Services Specialist regarding any problems or issues that may arise
• Maintain office supply inventory; prepare supply order requests and submit to the Tutorial Services Specialist for approval
• Answer phone, provide requested information, takes message, and redirect inquiries to appropriate staff members or departments
• Deliver and retrieve mail, sort and route to proper person
• Monitor the usage of all English, math, and study skills handouts and current software inventories, and initiate print requests to maintain an ample supply for the Learning Resource Center
• Use word processor or spreadsheet program, update, maintain and print weekly tutor schedules
• Make photocopies as needed
• Create new instructor test folders each semester
• Tally and summarize student and instructor evaluations of the Learning Resource Center
• Initiate work orders and print requests as needed
• Close out test folders by returning all tests to instructors' mailboxes at the end of each semester
• Maintain Learning Resource Center bulletin boards
• Visit classrooms at the request of instructors to provide information about Learning Resource Center services
• Conduct presentations to small groups or classes brought to the Learning Resource Center by instructors or to students and instructors from other schools who are visiting the campus

• Screen mail, telephone calls and visitors
• Perform arithmetic computations
• Establish and maintain cooperative and effective working relationships with others, including those from a diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff
QUALIFICATIONS AND REQUIREMENTS
MINIMUM QUALIFICATIONS
• A high school diploma or GED; AND
• Three (3) years of professional, general clerical experience; INCLUDING one (1) year of administrative support duties; AND

SUBSTITUTIONS
Substitutions for meeting the minimum qualifications of this position are allowed. Substitutions for the professional experience requirement are allowed, up a maximum of two (2) years.
• Two (2) years of full-time vocational business school or two (2) years of full-time college education involving a variety of administrative, business or commercial subjects may be substituted for up to two (2) years of experience.
OR
• College education in a non-job related subject may be substituted for up to two (2) years of experience on the basis of one (1) year of college education for six (6) months of experience.
DESIRED QUALIFICATIONS
• An Associate's degree
• Microsoft Office Suite experience, specifically Excel or a similar spreadsheet software
• Six (6) months of professional experience working with budgets or financial transactions
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
