Job Summary

DEFINITION Perform a variety of highly responsible and confidential clerical and administrative support duties for the Human Resources Department. Responsibilities include assisting with classified and certificated personnel actions, maintaining records and files, preparing reports, supporting recruitment and onboarding, and providing information and assistance to employees and the public. This position is a journey-level administrative support classification assigned to Human Resources. Employees at this level are expected to perform a wide range of HR-related clerical and administrative duties with limited supervision and a high degree of confidentiality, accuracy, and professionalism. Under the general supervision of the Superintendent or designee. This position does not supervise other employees.

EXAMPLES OF DUTIES May include, but are not limited to, the following: • Serve as administrative assistant to the Human Resources Department, performing a variety of confidential and complex clerical and administrative support duties.• Post and publish job vacancies for district positions; distribute job announcements to appropriate outlets.• Collect and process job applications; notify applicants of hiring status; prepare and coordinate interview schedules, interview panels, and oral examinations.• Provide new employee orientation and onboarding support, including information regarding benefits, policies, and procedures.• Maintain accurate and up-to-date personnel records for classified and certificated staff.• Type, edit, and prepare correspondence, forms, contracts, reports, agendas, and other documents.• Prepare reports, records, and statistical summaries related to Human Resources activities.• Assist in the preparation of board and cabinet reports; arrange materials and logistics for meetings.• Provide information and assistance to applicants, employees, and the public regarding personnel policies, procedures, and requirements.• Maintain office files, logs, and databases; compile data for reports and presentations.• Schedule and coordinate meetings, interviews, and department activities.• Greet and assist the public, employees, and job applicants; screen calls, visitors, and mail.• Assist with the development and improvement of HR office procedures.• Operate a computer, assigned software systems, and other office equipment.• Maintain confidentiality of employee and applicant information.• Perform related duties as assigned.

Experience and Training Any combination of education and experience that would provide the knowledge and abilities is qualifying.Example: High School Diploma or equivalent supplemented by coursework in secretarial science, business, or human resources.Four (4) years of increasingly responsible clerical or administrative support experience, preferably including experience in human resources. Special Requirements • Possess or obtain upon employment a valid California Driver License.• Provide proof of automobile insurability.• Typing/word processing at a minimum of 45 words per minute from clear copy.
