DEFINITION:
Under general supervision, to perform a varied and increasingly responsible general clerical duties in an administrative office, i.e., to greet public, answer and screen calls, and to do other related work as may be required.
DISTINGUISHING CHARACTERISTICS:
Persons in this class have general supervision from a District Supervisor. Incumbents work within a framework of established procedures, and are expected to perform a wide variety of reception, typing, entering and using complex data, understanding of policies, and general clerical duties with only occasional instruction or assistance. The duties listed below are typical for positions in the class collectively, but no one position will necessarily include all these duties.
EXAMPLE OF DUTIES:
The duties listed are typical, but not exclusive:
- Greet public, answer and screen calls,
- sort, alphabetize, index, proof and file cards, records and reports;
- communicates with other school district personnel, students and the public in matters requiring the knowledge of rules, procedures, policies, and activities governing the office or area of assigned responsibilities;
- type reports, correspondence, labels, requisitions and a variety of other materials from copy or draft;
- check and process a variety of forms and records for completeness and accuracy;
- may be asked to compile and summarize data on students enrollment, attendance, and other school activities
- may be asked to help with inventories and issue supplies;
- use telephone to make appointments, to give out and receive information;
- may up-date specialized records such as cumulative, attendance, psychological, or medical histories;
- perform other job related duties as assigned
QUALIFICATIONS:
Knowledge of:
- basic office methods and procedures including numerical, alphabetical and subject matter filing systems;
- standard office equipment operation;
- correct English usage, spelling, grammar, and punctuation;
- receptionist and telephone communication skills.
ABILITY TO:
- perform routine clerical work and learn office operations, procedures and equipment;
- learn more difficult and complex clerical tasks;
- perform simple record keeping;
- understand and carry out oral and written directions;
- establish and maintain effective working relationships with those contacted in the course of work;
Education, Training, and Experience:
- Graduation for high school or equivalent
- Typing: 40 words per minute
- Possession of the knowledge and abilities listed above are considered to possess the necessary education and experience.
