PRESCHOOL CLERK – BELLE AIR ELEMENTARY
DEFINITION: Maintains state attendance registers and student records, performs varied and detailed secretarial and clerical duties, interacts with parents and the school Office Manager as necessary and occasionally assists with student supervision as needed. Reports to the Site Supervisor and School Principal.RESPONSIBILITIES:- Serves as receptionist for the Program- Answers telephone inquiries or visitors’ questions regarding the Program and activities- Takes and refers messages for the Site Supervisor, teachers and other Program staff- Routes mail- Compiles student attendance data and correctly enters data into computer assisted attendance registers; prepares end of month reports- Maintains individual student files, including medical history and follow up on required immunizations- Assists in carrying out the District and Program Admission and Attendance Policies- Determines if students no attending school have proper authorization for absence- Operates modern office equipment and machines- Assists in managing the Student Assessment Program- Updates data base with current emergency form information as it is received- Administers first aid to students and supervises taking of medication by students when authorized by family doctor per Medication Policy- Maintains confidentiality of matters pertaining to school personnel and students- Assists in tracking Program expenditures- Utilizes appropriate safety precautions in the performance of duties to ensure the safety of students and staff- Performs other related duties as assigned- Performs such non-related duties, on a temporary basis, as may be required to meet immediate Program and District needs- Assists in the preparation of and maintenance of an appropriate and attractively arranged learning environment- Assists in the preparation of and arrangement of audio-visual materials and equipmentQUALIFICATIONS:Knowledge of:- Basic office procedures with special emphasis on indexing, filing, organizational procedures and applicable skills- Computer application to assigned work, including compilation of databases and electronic spreadsheets- Telephone equipment operation- Efficient and effective measure of reproducing printed materials- Rules, regulations, laws, policies, programs and procedures governing the district and the assignment- Appropriate health and safety regulations and safety precautions and proceduresAbility to:- Deal effectively with a wide variety of personalities and with situations requiring diplomacy, friendliness and poise- Relate positively to children and adults- Analyze situations accurately and adopt effective courses of action- Perform complex clerical work without supervision- Use sound judgment in times of emergency- Model proper English, spelling, language usage and grammar- Work efficiently with frequent interruptions- Understand, carry out, and give oral and written instructions- Schedule work in order to meet assigned deadlines- Proficiently operate appropriate office equipment and computers- Maintain a neat and orderly shared work environmentTraining and Experience:- Demonstrated success meeting and working with the public- Education equivalent to the completion of the 12th grade or greater- General office and computer experiencePersonal Qualities:- Maturity and judgment- Willingness to assume a wide range of responsibilities- Willingness to continuously improve- Willingness to learn new special routines or skills or the operation of new equipment- Excellent interpersonal skills- Presents a professional image appropriate for the workplace- Independent worker- Good health- Neat and clean appearance- Good organizational skills- Good communication skills- Flexible
