Job Summary
The Upper School (US) Administrative Assistant plays an essential role in supporting the daily operations of the Upper School office. Reporting to the Upper School Principal and supporting the Upper School Principal and Assistant Principal, this position ensures administrative functions are executed with efficiency, discretion, and professionalism. The Administrative Assistant works collaboratively with all members of the Upper School Leadership team to manage schedules, coordinate events, maintain office operations, and streamline communication. This individual serves as a trusted partner in helping leadership stay focused on strategic priorities while fostering a welcoming, well-organized Upper School environment. ESSENTIAL DUTIES: Administrative Support & Scheduling • Provides full administrative support to the Upper School Principal and Assistant Principal. • Manages calendars, appointments, and recurring meetings, coordinating with internal and external stakeholders. • Assists Upper School Principal and Assistant Principal with preparation for meetings, events, and US activities. • Responds to written and verbal communications on behalf of Upper School leadership in a professional and timely manner. • Maintains and organizes shared drives for file storage, collaboration, and project tracking. • Manages the annual calendaring process. Event & Office Operations • Coordinates Upper School events, meetings, and major activities in collaboration with the Upper School Leadership Team. • Manages all Upper School FMX scheduling, maintenance, facilities, transportation, and catering requests. • Partners with the Auxiliary Services Manager to manage the annual calendaring process. • Manages and oversees the organizational structure, flow, design, and upkeep of the Upper School office, including ordering supplies, daily maintenance of the faculty room and Tartan Center. • Maintains office supply inventory and places orders as needed. • Attend
Requirements / Qualifications
QUALIFICATIONS: Required • High school diploma required or equivalent. • Minimum of 3–5 years of administrative support experience, preferably supporting senior or executive leadership. • Strong organizational, communication, and time-management skills. • Proficiency in Google Workspace (Docs, Sheets, Calendar) and Microsoft Office (Word, Excel, Outlook, PowerPoint). • Proven experience maintaining confidentiality and handling sensitive matters with discretion. • Experience in working diplomatically, but effectively, to take initiative, maintain focus, and shape the environment for senior leaders to focus on strategic priorities is essential. Preferred • Associate or bachelor’s degree. • Prior experience in an independent school or professional educational setting. • Familiarity with Canva or similar online graphic design tools. • Experience creating systems and workflows to improve office efficiency and support leadership focus.

COMPENSATION & BENEFITS:
• Hourly Range: $32.00 - $40.00
• Benefits: Medical, Dental, Vision, Short and Long-Term Disability, and Life Insurance
• Paid Time Off: Accrue 2 weeks of vacation, 2 weeks of sick pay

PHYSICAL REQUIREMENTS & ENVIRONMENT:
This position requires the ability to work in a standard office environment with frequent movement between buildings on campus. This role requires regular interaction with students, faculty, staff, and visitors in a fast-paced school environment. The employee must be able to sit, stand, walk, bend, reach, and operate standard office equipment for extended periods of time. Visual and auditory acuity are required to interact with students, staff, and parents, and to use computer systems effectively. The position also requires the ability to occasionally lift and carry materials or supplies weighing up to 25 pounds. Standard work hours are Monday through Friday, 7:30 AM to 4:00 PM, and may require occasional evening, weekend or event coverage as needed.
