BASIC FUNCTION:

Under the direction of the Director of Human Resources and designee, perform a variety of technical duties and confidential human resource clerical and technical activities related to personnel transactions, new hire processing, personnel files and employment status tracking and recording keeping, provides technical assistance to internal and external clients to process personnel transactions and to compile and report data; coordination of the districts substitute employees; ensures accurate employment records; communicates with districts employees and other entities.

 

REPRESENTATIVE DUTIES:

 

ESSENTIAL DUTIES:

•Perform a variety of technical duties in support of human resources operations and activities; schedules and performs variety of complex clerical/technical duties related to district human resources programs; type letters, requisitions, reports, employment verifications and miscellaneous documents; files, answer phones as needed, operate office machines.

•Operate and monitor the District’s automated substitute employee management system as assigned, assign substitutes, prepares and maintains related documents and records.

•Assist in training, coordinating and reviewing the work of substitutes, student teachers, volunteers, and sports coaches hired by the District.

•Prepares application files and related documents for screening and interviewing; assists Director of Human Resources or designee in coordinating meetings; schedules interviews, conducts reference checks; follow-up correspondence to applicants; communicate with applicants. 

• Assist in the recruitment, screening and processing of new personnel according to established procedures; collect and process various employment forms and applications; arrange and follow-up for clearance on fingerprints; screen applications for minimum requirements including physicals; administer and assure proper testing of applicants.

•Assist in the coordination and schedule interviews; prepare interview packets; arrange for interview panels as assigned; notify candidates of testing and interviewing activities.

•Schedule appointments and arrange meetings.  Prepares schedules and informs participants, confirming dates and times.

•Researches, responds to, or refers employees’ questions about personnel policies and procedures.

•Receives and files confidential and private information pertaining to the District and its employees, including employee evaluations, disciplinary actions, grievances, EEOC complaints, and information related to collective bargaining.

•Maintains and updates information for personnel and subject matter files, ensuring proper treatment of confidential information.

 •Prepare and distribute announcements for job openings; place advertisements in appropriate media.

•Operate a variety of office equipment including a calculator, copier, fax machine, typewriter computer and assigned software.

•Provides employment and general information about the District to prospective job applicants, responds by letter to inquiries of persons of interest in employment, compiling and forwarding special request information as requested.

•Performs general data entry such as, but not limited to, updating of mailing lists used for recruiting, assembling data and information for human resources related reports.

•Compose a variety of correspondence including inter-office communications, lists, notices, forms, letters, memoranda and other materials; maintain and distribute the personnel directory.

•Perform variety of clerical duties related to assigned activities such as answering phones, verifying employment, greeting visitors and duplicating materials as assigned.

•Attend meetings related to assigned human resources activities.

•Assist human resources department as directed.

EDUCATION AND EXPERIENCE:

 

Any combination equivalent to:  graduation from high school supplemented by college level course work in human resources or related field and two years increasingly responsible human resources experience.
