The Facilities & Operations Department of the Long Beach Community College District is seeking highly qualified individuals for a current opportunity as an Executive Assistant! Executive Assistant is responsible for providing a wide array of complex, diverse and confidential secretarial, administrative and support services to a Vice President, Executive Vice President, Associate Vice President, or the Executive Director, Public Affairs & Marketing, often in a highly sensitive and rapidly changing environment. The incumbent operates in an environment characterized by involvement in broad District-wide issues and interaction with top executives and officials on complex and sensitive matters.

 

A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from graduation from high school or G.E.D. equivalent; and six years of increasingly responsible office administrative or secretarial experience; or an equivalent combination of training and experience. College-level coursework in public administration, business management or communications is highly desirable.

• exhibit exceptional customer service skills, business communication, project management, and organizational skills

• have the ability to build rapport with internal and external stakeholders across the District and lead a diverse team

• Demonstrated ability to work effectively with cross-functional teams, including Capital Construction, Small Projects, Educational Affairs (EA), and Facilities Administration. The ideal candidate will have experience navigating and collaborating within diverse teams to support department and institutional goals.

AT-A-GLANCE POSITION INFORMATION

 

Type of position: Full time (40 hours/week), 12 months

Position Status: Permanent

Schedule: Mon. - Fri. 8:00am - 5:00pm.

Location: Will support both campuses, but could be located at either the Liberal Arts Campus (LAC) or Trades, Technology, and Community Learning (TTC)

Salary: Range 4, MGMT $ 78,101.00 - $ 106,412.00 Annually

Eligibility list: Will be valid for 12 months once approved or ratified by the Personnel Commission. We reserve the right to use the established eligibility list for vacancies (permanent and temporary) in this classification as well as related classifications

Advanced salary placement: Generally, new employees start at the first step on the salary schedule. Advanced salary placement may be considered on a case-by-case basis.

Duties

 

GENERAL PURPOSE 

 

Under direction, performs a variety of complex, responsible, highly sensitive and confidential office administrative and secretarial support functions for a Vice President, Executive Vice President, Associate Vice President, or the Executive Director, Public Affairs & Marketing, and performs related duties as assigned.

DISTINGUISHING CHARACTERISTICSExecutive Assistant is responsible for providing a wide array of complex, diverse and confidential secretarial, administrative and support services to a Vice President, Executive Vice President, Associate Vice President, or the Executive Director, Public Affairs & Marketing, often in a highly sensitive and rapidly changing environment. The incumbent operates in an environment characterized by involvement in broad District-wide issues and interaction with top executives and officials on complex and sensitive matters. Executive Assistant is distinguished from Executive Assistant to the Superintendent/President in that an incumbent in the latter class performs a variety of complex, sensitive and confidential support services for the Superintendent/President, requiring a high degree of independent judgment and a thorough knowledge of District functions, policies and procedures.

Qualifications

Licenses; Certificates; Special Requirements:

May require a valid California driver's license and the ability to maintain insurability under the District's vehicle insurance policy.

 

Meeting the minimum requirements of the position does not guarantee advancement in the selection process. Candidate qualifications will be assessed to determine those who meet and exceed requirements, and are deemed most competitive amongst the applicant pool to proceed.

Experience is evaluated on the basis of a verifiable 40- hour week, unless specified otherwise. Prorated part-time experience may be acceptable. Successful candidates who pass all parts of the examination process will be placed on the eligibility list* in order of their relative merit as determined by these competitive examinations.

Selection Process:

 

The following examination segments are pass/fail and may be utilized during the selection process:

 

• screening of the applicant's training, background, and experience

• scored evaluation of responses on a supplemental application/ subject matter expert (SME) review. *** Please answer each question thoroughly as they will be read and scored by SMEs***

 

Test parts are determined by the size and competitiveness of the candidate pool.
